We are seeking two Personal Assistants to support our Head of Regulatory Compliance and Head of Technical Services & Design. You will be dedicated and resourceful, helping to navigate the complexities of the Head of roles. About the teams: Regulatory Compliance: Our Regulatory Compliance Unit ensures our residents can enjoy a safe and healthy environment. We are responsible for alcohol licensing, food safety, environmental health, licensing of premises, animal management, compliance and investigations, and LIM information. We have a dedicated Customer Service & Triage team that supports our teams to achieve our goals of ensuring individuals and organisations meet their regulatory responsibilities for the public good. Technical Services & Design (TSD): We are an in-house shared service comprised of technical and design professionals who provide a range of survey, landscape, infrastructure and architectural design as well as construction contract management services across Council. About the role:  It goes without saying that as a PA you'll need to be adaptable and organised to keep one step ahead and ensure that the workflow is well managed. The tasks you'll be undertaking include: Proactive diary management and support by aligning scheduling with priorities. Screening incoming mail, e-mail and phone calls, redirecting, delegating and prioritising as appropriate. Informing on priority issues, researching and preparing background information as appropriate. Attend meetings and undertake minute-taking functions on behalf of the Manager or meeting chairperson. Build relationships of trust and respect with the Key Stakeholders. Dealing with sensitive and confidential information, such as employee records, strategic plans, and organisational changes. About you:  You are someone who can work independently and with initiative, seeking out what needs to be done before you've been asked to do it. You'll be able to jump in and out of tasks as priority demands, work under pressure, and you won't shy away from challenging work. To be successful your experience will include: 6 years' experience as a Personal Assistant within a large organisation with at least 3 years providing support to a Senior Manager or equivalent experience Very high-level accuracy in spelling and grammar In-depth knowledge of administrative systems and procedures Well-developed communication and interpersonal skills Experience in managing senior executive internal relationships in both formal and informal contexts What you'll get in return: Working for the Christchurch City Council allows you to contribute directly to the community and make a positive impact on the lives of residents and visitors.
