We are committed to promoting inclusion, well-being, and active lifestyles within our community.Job Summary:The Office Manager will be responsible for managing the administrative and financial operations of Disability Sport Auckland. This role is crucial in ensuring the smooth running of the office and supporting the overall mission of DSA. The successful candidate will handle various tasks related to accounts, finances, funding, office management, equipment, vehicle management, and event coordination.Key Responsibilities:Accounts:Manage payroll and ensure accurate and timely payment to staff.Handle onboarding processes for new staff.Liaise with IRD/ACC for compliance and reporting.Oversee invoicing and payment processes.Perform bank and Xero reconciliations.Maintain the asset register.Finances:Prepare monthly financial reports, including cash flow, P&L, budget variance, and grants.Compile annual financial reports for DSA and our clubs.Coordinate and support audit processes.Update and maintain records with the Charities Commission.Funding:Submit funding applications for DSA, WCR, and WCBB.Manage accountability reporting for all grants.Ensure accuracy in the Fluxx Grants program.Office Management:Manage office consumables, including stationery and supplies.Maintain the EFTPOS machine and printer.Oversee merchandise and uniforms.Liaise with other offices and the gym to ensure smooth operations.Address general running and staff requirements.Hire and Bookings:Manage gym bookings and maintain the gym calendar.Oversee van and trailer bookings.Equipment Management:Manage the hire, maintenance, purchase, and disposal of equipment.Maintain an updated stock list.Event Coordination:Secure funding.Book venue, send notifications and liaise with vendors.Manage sponsors, raffles, tickets, and budget.Qualifications:Proven experience in office management, finance, or a related field.Strong organizational and multitasking skills.Excellent communication and interpersonal abilities.Ability to work independently and as part of a team.Attention to detail and problem-solving skills.Knowledge of compliance and regulatory requirements for charitable organizations is a plus.How to Apply:Interested candidates should submit their resume and a cover letter outlining their relevant experience and why they are interested in the position through Seek.Application Deadline: 29th September 2024Interviews: Week starting 7th October 2024Your application will include the following questions:Which of the following statements best describes your right to work in New Zealand?How many years' experience do you have as an office manager?How many years of payroll experience do you have?Do you have experience using Xero?Do you have previous invoicing experience?Do you have reconciliations experience?
