About The Role In this interesting and busy role, your daily administrative tasks will support the arrival of pepi and the ongoing care they and their birthing person/people may require within the healthcare system, including:
Covering reception duties, including booking patients for their birthing process and/or other medical procedures
Admitting visitors outside of visiting hours
Answering enquiries from visitors and inpatients, both in person and on the telephone
Maintaining effective electronic and paper filing systems
Co-ordination of Birth Notifications
Arranging outpatient clinic appointments
Providing administrative support to the midwife managers when required
As our Service runs 24/7, our administration staff work standard office hours across a 5-day (Monday – Friday) roster. The reception desk is open from 0800-2030 Monday to Friday. However, in the future, we may expand this to 7 days a week, so the ability to work evening and weekend shifts is essential.

About You You will be joining a dedicated, supportive, and friendly team, providing invaluable support to families when they need it most. You will establish and maintain positive working relationships across the Maternity Service, always providing excellent customer service.
Ideally You Will Bring The Following Skills And Experience Previous experience in a busy administration role
Competent and confident using the Microsoft Office suite, particularly Word, Excel, and Outlook
Excellent word processing and data entry skills with a strong eye for detail
Flexible approach with the ability to successfully prioritise your workload
Respectful nature handling confidential, often sensitive information professionally
Excellent communication with a natural flair for fostering positive relationships
Competency with te ao Maori, tikanga, and te reo Maori or a commitment to starting your journey and taking ownership of your learning and growth
Experience in projects/initiatives that give effect to Te Tiriti principles and frameworks, particularly in healthcare settings.

Salary Range This role is covered by the terms and conditions of the PSA South Island Clerical Multi-Employer Collective Agreement, with a salary in accordance with the National Health Administration Workers Pay Scale, Band 3C between Step 1 $65,627 and Step 3 $70,024 p.a pro rata dependent on relevant experience.
