About The Black Foils New Zealand SailGP Team: Led by legendary sailing duo Peter Burling and Blair Tuke, the Black Foils proudly represent Aotearoa New Zealand in the global SailGP racing championship. After finishing at the top of the leaderboard last season, before taking third place in the winner-takes-all grand final, we'll be looking to build on our momentum going into the new 2024/25 season kicking off in Dubai November 23-24. The Black Foils are driven by the mission to race for a healthy ocean and we are passionate about raising awareness of the importance of a healthy ocean for a healthy future with our partner Live Ocean Foundation. We are looking for a superstar to join our team in the role of Team Coordinator, based in our Auckland CBD offices. Position Description: Reporting to the Team Manager, the Team Coordinator will support with travel logistics, invoicing functions and administrative tasks in the lead-up, during and after all SailGP events. This person will also play a key support role in our sustainability planning and execution. This role is based in Auckland and provides remote support during overseas events, so you will be expected to be available during event weekends as needed. There also may be an opportunity to travel to some events to fulfil the onsite operational role as required. Key Responsibilities: Work with travel agent to book all team flights. Select and book team accommodation and manage all communications with accommodation providers throughout the season. Book ground travel (airport transfers, rental cars etc) as required. Coordinate last minute travel changes with urgency and efficiency. Financial data entry and management Manage all invoicing – requesting and tracking invoices, creating Purchase Orders. Reconcile credit card charges spreadsheet with receipts scanned. Sustainability reporting and support Complete post-event sustainability reporting for UN Sports for Climate Action commitments. Complete the Impact League audit spreadsheet and upload evidence for each event. Support the development and execution of Impact League projects throughout the season. Event-related logistics support – pre-event Main point of contact for SailGP departments dealing with accreditation, catering, tickets, etc. Order supplies to be delivered onsite – e.g. additional uniforms, supermarket orders, other team supplies. Coordinate uniform needs and branding. Research/arrange local services as needed – i.e. laundry, SIM cards, bike rental, etc. Prepare preliminary daily onsite schedule. Liaise with Inspire program participants – interns and adopt-a-clubs. Work with Partnerships Manager and MarComms Manager on scheduling partnership and PR obligations onsite. Communicate all daily schedules and operational plans within the above scope to Team Operations Manager before they travel to the event. Event-related logistics support – during event On standby to support Team Operations Manager remotely as required – this typically includes sourcing last minute equipment orders and travel changes. You may also be required to travel to events from time to time to cover the onsite operational role. In this case you would be supported remotely by the Team Operations Manager. Other responsibilities Support the Team Operations Manager with other duties as reasonably requested. Support other areas of the team as required, i.e. partnerships, marketing and communications. Qualifications and Attributes: Demonstrable background in event or team coordination, travel booking and/or sustainability operations/reporting Passion for sport and/or sustainability Flexible work schedule to work across global time zones and weekend events (13-14 per year) Flexibility to travel overseas to support the team at events as needed. Ability to operate both independently and in a collaborative, team environment. Ability to show initiative and thrive in a fast-paced, start-up environment. High level of organisation and attention to detail. Exceptional communication skills, both written and oral. Self-starter, action-orientated, resourceful. Sustainability values and a te ao Maori worldview will be beneficial.
