Korero mo te turanga - About the role While many of our staff are based offshore, our onshore staff - especially our Team Administrators - are critical to ensuring our people are enabled to do the amazing work they do, wherever they are.
Our Team Administrators are proactive, organised and have great relationship skills - and as a result they become highly sought after for (non-foreign policy) secondments, projects and development opportunities within the Ministry - so this means we are regularly on the hunt for our next great administrator.
Right now we have an opportunity available for a Team Administrator (Funds Administration) in the Trade and Economic Group (TEG).
In this Wellington-based, part time role you will work primarily on the administration of TEG's specialised trade and economic funds, and will undertake administration and support work for other TEG teams / divisions depending on workload demands.
Some of the work you will do includes: Being the subject matter expert on TEG's funds, providing high quality, timely and accurate advice to applicants and ensuring the criteria, funds management and audit requirements for the administration of the funds are met; Arranging meetings to discuss applications including eligibility, recording outcomes of the applications for funding and notifying applicants; Preparing invoices for payment and monitoring payments and expenditure against budget; Forecasting and reporting on expenditure; Supporting the team, including arranging overseas and domestic travel, scheduling meetings, and making logistical arrangements for roadshows and events; We're looking for someone who can work 24 hours per week (0.6 FTE).
Ideally, we'd like the successful applicant to work five days a week, between 4-5 hours per day.
However, we can be flexible depending on your circumstances.
The salary range for this role is between $57,656 to $73,671 total fixed remuneration, negotiable depending on skills and experience.
The total remuneration is inclusive of our 3% KiwiSaver employer contribution.

Who are we looking for?
We'd like to hear from you if you have the following skills and experience: Strong customer focus, with outstanding interpersonal and communication skills Excellent attention to detail Experience in budget and / or funds management and a good understanding of financial management and good numeracy skills Natural planning and organisation skills with the ability to self-manage and use your initiative Flexibility and ability to adapt quickly in a reactive environment Technical skills and confidence using the MS Office suite Ideally you will also have a good understanding of tikanga (Maori customs and protocols), with the ability to weave te ao Maori (the Maori worldview) into your work.
If you are just starting on this journey that's OK too as long as you have a willingness to learn and a desire to develop your cultural capability.
