Office Management (Administration & Office Support)The Studio Manager will oversee the seamless and efficient operation of our studio, ensuring exceptional client service while supporting the Director in project delivery and event execution.The ideal candidate is a dedicated, personable, and client-focused professional who is highly organised, a proactive problem-solver, and an excellent communicator. They possess strong technical and digital proficiency and have a genuine passion for the arts and the SOLE Mission.Hours: 12.30-5.30pm - Mon - Thurs / alternating Friday. Hours will vary so the manager can oversee full operation of the studio and attend all events.Key Responsibilities:Client Focused:Warmly greet and assist clients and mentors, ensuring their needs are met and their experience at SOLE is always positive.Manage the consultation and sign-up process, including follow-ups to ensure client satisfaction and a full academy.Respond promptly to all client inquiries and requests.Manage all communications to ensure that clients and staff are fully informed of all SOLE activities and updates, including the newsreel and newsletter.Resolve any payment or session-related issues, maintaining clear communication with clients.Build strong relationships with students and mentors, maintaining a positive presence at SOLE.Studio Operations:Manage and maintain the studio calendar, ensuring accurate scheduling of sessions, events, and meetings.Organise substitute mentors if the primary mentor is unavailable, and reschedule sessions as needed.Manage SOLE Social channels - growing brand, keeping audience up to date with happenings.Manage Website - updating with events, adding mentors and continuing to improve customer experience.Maintain a tidy and organised studio environment, ensuring all gear is in working order, put in the correct place, properly charged, and the plants live.Utilise software tools like Mymusicstaff, Google Docs (Word/Excel), Canva, Squarespace, Asana, and social media platforms effectively.Keep the operations folder organised and up-to-date.Maintain and manage client and mentor contacts and the studio database.Follow up on overdue payments and ensure timely collection.Manage the preparation and distribution of Progress Reports and videos for students and continue to develop the student journey experience.Identify and implement new systems and processes to enhance studio operations.Manage and delegate tasks to SOLE interns.Event Planning and Execution:Plan and execute events in collaboration with the SOLE Director, including Workshop Week, End of Term Shows, Annual Showcase, and other special events such as workshops, songwriting camps, and holiday programs.Coordinate with contractors to capture events, book venues, and manage event logistics.Ensure all mentors and clients are informed and prepared for events.Set up the studio for events, ensuring everything is in order.Be available for all events.General Responsibilities:Assist the Director/CEO with various tasks as needed, keeping tasks updated in Asana.Communicate any concerns or issues to the Director promptly.Qualifications & Experience:Previous experience in a studio management or administrative role, preferably within the arts or entertainment industry, or any other client-focused roles, e.g., hospitality.Excellent interpersonal and communication skills.Strong organisational, problem-solving, and multitasking skills.A proactive approach with the ability to identify and solve problems efficiently.Proficiency on a computer and able to pick up programmes fast.Ability to work independently and as part of a team.Social media and content creation skills.How to Apply: Please submit your resume and a cover letter detailing your experience and why you would be a great fit for this exciting role to (email protected)The job will remain open until we find the right fit.Your application will include the following questions:Which of the following statements best describes your right to work in New Zealand?Do you have a current Police Check (Criminal Record Check) for employment?Do you have a current New Zealand driver's licence?Do you have customer service experience?
