The opportunity: Reporting to the Senior Vice-President & Regional Manager, Manitoba & Saskatchewan, the Senior Regional Business Administration Manager will utilize their significant administrative, leadership and operational experience in the financial services sector to oversee office operations and administrative staff members.
The Senior Regional Business Administration Manager will develop, review, and improve policies, systems, and procedures, generally ensuring the offices operate smoothly and efficiently.
The incumbent will also assist in developing and enforcing budgets, delegating tasks and tracking progress on projects, and planning and organizing a calendar of events, which may include training sessions, interviews, new hire orientations, and policy or procedure updates.
The Senior Regional Business Administration Manager will support the Senior Vice-President & Regional Manager in proactively planning for and managing customer-service and business requirements to support the regional growth plans.
Key responsibilities include: Regional Business OperationsSupervise the day-to-day operations of the administrative employees in the region by providing escalated customer service and problem resolution support.Manage inventories for all locations and oversee regular maintenance of office equipment.Plan, schedule and promote office events, including meetings, conferences, interviews, orientations and training sessions.Coordinate and streamline cross-functional communication and collaborate between regional teams and corporate departments.Assisting in building branches, including furniture, design, IT, operations, and invoices.Manage regional budgets, ensuring optimal allocation of resources adherence to financial plans.Team Leadership and DevelopmentPartner with Regional Manager to hire, train and evaluate employees.Supervise a team of administrative professionals to foster a high-performance culture.Conduct performance evaluations and identify professional development opportunities for staff.Process Improvement and Strategic PlanningReview existing administrative systems, policies and procedures, providing ongoing recommendations for improvement.Analyze regional business processes and implement continuous improvement initiatives.Provide recommendations for optimizing workflows and increasing overall operational efficiency.Compliance and Risk ManagementEnsure region's operations adhere to regulatory requirements, internal policies and company standards.Identify and mitigate risks related to business administration, including financial, operational and compliance related risks.Stakeholder Relationship ManagementManage Regional Manager's calendar, book travel and optimize schedule.Partner with the Transitions team to support the transition of new Investment Advisor teams, specifically working with team assistants and administrative staff.Performing other duties as assigned.The ideal candidate will possess: A bachelor's degree in business administration, finance, or similar field of study.A minimum of 3 years of experience in the financial industry preferably within operations/administrative roles within a bank or CIRO regulated environment.CIRO licensing considered an asset.Experience with Docusign, Croesus and other administrative platforms is considered an asset.Proficiency with the MS Office suite, including Word, Excel, PowerPoint, Teams, and Outlook.Familiarity with budget planning and enforcement, human resources and customer service procedures.Demonstrate a high level of accountability, reliability, adaptability, and innovation in accomplishing day-to-day work and long-term goals.Excellent attitude and commitment to providing extraordinary service.An excellent attention to detail with an ability to maintain the highest levels of confidentiality.Exemplary interpersonal and influencing skills; an ability to communicate effectively and work collaboratively, across multiple mediums (in-person, over the phone, and virtually).Excellent problem-solving skills and strong organizational skills.A high tolerance for ambiguity; highly adaptive and able to manage a large volume of competing priorities.Strong critical thinking and written and verbal communication skills.Conditions of employment: Must be legally eligible to work in Canada.Must be able to travel approximately 2-5% of the time.A background check, satisfactory to the employer, may be required of the successful applicant prior to commencing employment.Wellington-Altus Private Wealth is strongly committed to equity and diversity within its community and welcomes applications from women, racialized persons, Indigenous peoples, persons with disabilities, and persons of all sexual orientations and genders.
