Job Summary:
We are looking for someone who is keen to support a team of Travel Designers who is positive, customer orientated, not easily flapped and who will support our Villa team by undertaking various tasks related to guest stays in Villas. This is from meeting and greeting our guests, to being on hand when needed for any guest related requests while in the Villa and overlooking the presentation and guest experience in villa.
To be successful in this role you will need to be an effective multi-tasker, have great attention to detail, be willing to do what is requested of you when needed and able to accept we work in an ever changing environment.
Reporting to the General Manager, this role is responsible for providing top-tier support to our sales team and ensuring a positive and seamless experience for our villa guests.
Key Responsibilities:
Primarily responsible for maintaining our itinerary planning and CRM systems.
Tour Writer is our key itinerary writing and pricing software tool and tasks will include updating and maintaining prices for product, imagery, and copy.
Managing new and existing product from suppliers ensuring these are updated for the sales team and all systems are kept up to date.
Assist the sales team with ad hoc administrative tasks as required such as sourcing availability and quotes for accommodation and key activities to support the Travel Designers when preparing itineraries for clients.
Guest Services:
Touch of Spice representative for guest meet and greets in villa.
Responsible for provisioning the villas and making sure the villas are all set up for guest arrivals as per our high standards.
Pre and post stay checks of the villas to report back on any damage, excessive cleaning requirements etc.
Working with our Property Management team and keeping them updated with key information.
Ensuring the villa is set up as per the guest requirements and double checking the booking details prior to arrival.
On call for any guest related situations or requests while in villa.
Collaborate with the sales team to ensure exceptional guest experiences at all stages of their itinerary.
Qualifications:
Strong administrative background.
Proven experience in a sales support, guest services, or customer service role.
Strong communication skills, both verbal and written.
Excellent organizational and strong problem-solving skills.
Ability to multi-task.
Proficient in Microsoft Office suite (Word, Excel, Outlook); experience with CRM systems is a plus.
Ability to work independently and as part of a team in a fast-paced environment.
Positive and can-do attitude, with a focus on customer satisfaction, service excellence and thrives on change.
This role has an immediate start and we will consider both a short term contract or a full time position. This position will be based in our Queenstown office.
