The Engine Room is a busy, owner operated, and award-winning restaurant located in Northcote Point. We are seeking a confident, upbeat reservationist / administration superstar to ensure the smooth running of our restaurant and office; provide support to the owners and 16 to 20 employees, and be the first point of contact to our amazing customers. Exceptional hospitable communication and organisational skills are essential. This is a part-time role (approximately 25 hours per week) where we require you to work in our office Tuesday – Friday from 9:30am – 3:30/4:00pm, plus one Monday per month (4 – 6 hours) as required. Full time hours are a possibility with the addition of FOH evening shifts. The Engine Room is closed Easter, public holidays and two weeks at Christmas. We are generally very busy throughout the school holidays, and require all hands-on deck.
This position will begin immediately, working alongside our current reservationist for a smooth handover of the position.
Duties include (but not limited to):
Customer Relations Reservation bookings and confirmationsManaging customer enquiries through phone and emailIssuing gift vouchers and managing gift voucher database SevenRooms (cloud-based reservation system): Managing customer database, mail-out templates, creating events, restaurant opening hoursFunction & Event Management Customer correspondence and managing customer expectations Providing suitable options, pricing, menus and drinks for events and large group bookings Managing event 'Terms and Conditions'Strong coordination and organisation to liaise with Kitchen & FOH team and creating detailed and accurate event run sheetsUpdate menus as required with owners HR & Staff Organisation Assist owners with recruitment and staff retention Employee Contracts: Voluntary Observations, Employment Agreements, Offer Letters, House Rules Maintain checklists, operations manuals, training documents Conduct monthly staff meetings Create employee incentives and coordinate staff outings/training opportunitiesEmployee Letters, as required (contractual changes, general employment, email correspondence etc). General Administration Maintain website: menu updates, changes to opening hours, Journals page Update wine/ drinks list as requested (liaise with printers for new lists)Assist with menu notes, wine tasting notes, kitchen recipes as required Daily use of Loaded Reports (our food and beverage management system) for invoicing and stock controlUse of Xero for invoicing and weekly and monthly payments Work with Accounts Administrator as required (regarding supplier/client invoices) Liaise with suppliers: Food and beverage suppliers, rubbish collection, cleaning requirements, Landlord, repairs and maintenance contractors, IT Technicians etc. Accept daily deliveries; query short-ships and damages with supplier concernedWe are seeking an individual who has spark, a can-do attitude, and is willing to bring their skills and knowledge to the party.
