Job Description:

Viacom is looking for a passionate and reliable Remote Office Manager to join our team in Christchurch, Canterbury. As a key member of our organizational structure, you will play a vital role in ensuring smooth operations and enhancing the productivity of our remote workforce. In this part-time position, your responsibilities will encompass various administrative, operational, and people management tasks to support our diverse team and overarching company goals.

Key Responsibilities:

Administrative Support:
Manage day-to-day office operations in a remote environment, ensuring efficiency and productivity.
Organize and maintain virtual filing systems; ensure all documentation is easily accessible.
Coordinate schedules, appointments, and calendars for team members as needed.
Prepare and manage travel arrangements, including itineraries and accommodation for employees traveling for work-related events.
Communication:
Serve as the primary point of contact for internal inquiries regarding office policies, procedures, and available resources.
Facilitate clear and effective communication between team members, departments, and remote employees to encourage collaboration and teamwork.
Organize and lead regular team meetings, ensuring participants are prepared and informed.
People Management:
Support the onboarding process of new employees, including training in office protocols and culture.
Foster a positive and inclusive team environment by promoting company values and encouraging open dialogue.
Assist in conflict resolution and implement strategies to enhance team morale and engagement.
Operational Oversight:
Monitor and manage office supplies and resources, ensuring adequate inventory levels are maintained.
Implement and improve processes for better efficiency and performance in administrative tasks.
Utilize project management tools to oversee ongoing projects and deadlines, ensuring that objectives are met.
Reporting & Documentation:
Maintain records and prepare reports regarding office performance and team productivity.
Analyze reports to identify trends and areas for improvement, presenting findings to management as necessary.
Ensure compliance with company policies and procedures across all operational functions.
Requirements:

Education: Bachelor's degree in Business Administration or related field preferred.
Experience: Minimum of 2 years of experience in an office management or administrative role, preferably in a remote setting.
Technical Skills:
Proficiency in remote communication tools (e.g., Zoom, Microsoft Teams, Slack).
Familiarity with project management software (e.g., Asana, Trello).
Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint).
Personality Traits:
