Position Overview:
We are seeking a proactive and organized Remote Executive Assistant to support our Founder/Director. This role will be essential in streamlining operations, handling key communications, and enabling the founder to focus on high-impact initiatives. As a remote role, you'll have the flexibility to work from anywhere, while playing a central role in the growth of GLASSGUARD.
Responsibilities:
Executive Support: Manage and prioritize the Director's calendar, including scheduling meetings, calls, and appointments.
Coordinate travel arrangements, itineraries, and accommodations as needed.
Prepare meeting agendas, take detailed minutes, and follow up on action items.
Administrative Tasks: Handle day-to-day administrative tasks such as email management, document organization, and correspondence.
Draft and edit reports, presentations, and other documents as requested by the executive team.
Assist with the preparation and execution of projects, tracking timelines and ensuring milestones are met.
Communication: Act as a liaison between the Director and internal departments, vendors, and clients.
Facilitate clear and timely communication, addressing inquiries on behalf of executives as appropriate.
Maintain a high level of confidentiality and professionalism in all communications.
Project Coordination: Support special projects, from research and data collection to tracking and reporting.
Assist with event planning and coordination for both internal and external events.
Help the team stay organized and on track with initiatives by setting reminders, creating task lists, and suggesting improvements for efficiency.
Requirements:
Experience: 3+ years of experience as an executive assistant, personal assistant, or similar role, preferably supporting senior executives.
Familiarity with eCommerce businesses and software is a plus.
Skills: Exceptional organizational and time-management abilities.
Strong written and verbal communication skills, with attention to detail.
Proficient in Microsoft Office Suite and/or Google Workspace; familiarity with project management tools (e.g., Motion, Monday) is a plus.
Attributes: Self-starter with the ability to work independently in a remote environment.
Adaptable and resourceful with a high level of discretion and confidentiality.
Problem-solving mindset and willingness to take on new challenges as they arise.
