Hayson Knell Ltd is a leading Planning Consultancy firm based in the heart of Tauranga City. Our office is a vibrant, collaborative and supportive place to work which provides an excellent workplace environment and a happy team!
We are seeking an experienced and detail-oriented Accounts Administrator / Projectsworks Expert to join our fantastic team. This is a part-time role that would offer flexibility and great work life balance to the right candidate. We envisage this role will be 20-25 hours per week.
This pivotal role will support the smooth financial and operational functioning of our company by managing project budgets, financial processes, and staff resources.
Key Responsibilities: PROJECTWORKS
Act as the company expert in all things related to Projectworks, which is our project, timesheet, resourcing, budgeting and invoicing system
Oversee project budgets and allocate staff resources efficiently
Track project progress against budgets and provide financial and resource updates
Liaise closely with the Planning Team Lead on resourcing
Liaise closely with Planners on project budgets
Set up and maintain clients, contacts, projects etc (working closely with our Planning Technician)
ACCOUNTS
Manage accounts payable and receivable processes
Prepare and issue accurate and timely invoices
Managing all expenses and staff reimbursements
Handle GST and tax-related tasks, meeting IRD deadlines
Perform monthly financial reporting, including reconciliation and reporting on project and staff performance
Process and maintain accurate financial records
Handle day-to-day accounting operations and assist with month/year-end processes
Address other accounts-related tasks as they arise
KEY SKILLS AND EXPERIENCE Proficiency in Projectworks, Xero, and the Microsoft Office Suite (Word, Excel, Outlook, Teams)
Excellent working knowledge of day-to-day and month/year-end accounting processes
Strong organisational and time management skills, with the ability to handle multiple tasks and meet deadlines
Attention to detail and a proactive problem-solving approach
Strong communication skills, both written and verbal
IDEAL CANDIDATE PROFILE Relevant experience in a similar role
Confident and capable of working independently with minimal supervision
Familiarity with New Zealand tax, GST, and compliance requirements
Enthusiastic about improving processes and driving efficiency in financial and project workflows
