Overview:
As Pocket Square's Project Manager, you will be responsible for ensuring the success of our clients by delivering exceptional outcomes, providing excellent customer service and building strong partnerships. You will work closely with clients to understand their needs, and with our internal team to ensure that work is completed on time and to scope/budget.

This full-time role is a 12-month fixed-term position providing cover for a period of parental leave. Applicants must be based in New Zealand, and remote or hybrid working is possible.
Key Responsibilities include: Pre-planning all activity and actions for assigned clients months ahead - or as far ahead as is possible with reactive activity - to ensure a robust understanding of the sequence of any activities.Guiding others - internal and external - on the sequence of any activities and securing the relevant resources to facilitate the quickest possible delivery timeframe.Day-to-day production management, monitoring of resource capacity and timeline creation/management, including accommodating resource leave.Working with the wider Project Management team to maintain Pocket Square's project management, forecasting and time tracking tools (Click-Up, Harvest, etc.), including maintaining the accuracy of any data within these tools.Day-to-day monitoring of fixed fee budgets and the utilisation of Proactive Monthly and Reactive Monthly (if applicable) production days.Day-to-day monitoring of client spend, overage, billings and back-chargeable time, and the update of related reports.Taking commercial information (e.g. billings, back charge, overage) into consideration when making resourcing decisions and interacting with clients.Reviewing the accuracy of all Production time entries for assigned clients, and ensuring that all billable time is invoiced on a monthly basis.Managing and monitoring the delivery of all production activity.Supporting the Production team with scoping activity for assigned clients, reviewing these estimates and applying buffers based on standard Pocket Square workflows.Supporting the Production team with the delivery of production activity for assigned clients, including ensuring that activity is unblocked where necessary.Managing and/or coordinating external stakeholders.Running external and internal meetings.Documenting and tracking client requirements, and managing the scope of any activity to ensure Pocket Square profitability and client satisfaction.Obtaining written sign-offs or approvals on all costs, requirements, scope and key decisions.Creating and maintaining documentation, files and folders (including timelines).Identifying, raising and supporting the mitigation of project risks.Generally doing everything within your control to afford Pocket Square a layer of protection in the event of problems arising with any client-facing activity.Rallying Production resources (including Strategy) to ensure that work is pre-planned as far in advance as possible.Reviewing production work to ensure quality and accuracy prior to delivery to an external party (e.g. a client), and providing feedback where a review by a more specialised resource is not possible or necessary.Tracking all billable time into Pocket Square's chosen time tracking tool.Supporting clients with answers - or the sourcing of answers - to any questions that they may have. Skills & Experience Essential: Minimum 3 year's experience in project management, including the use of project management toolsThe ability and willingness to engage in technical project detail in order to fully understand a client's requirements and to track project scope comprehensivelyThe ability to review a brief and quickly pick out a client's requirements, as well as work with them to make clear their motivations for pursuing any course of actionThe ability to identify risks and proactiveness to mitigate these risks quicklyA deep commercial understanding of the type of work that you are managing, as well as the value of that work to Pocket Square and our clientsThe ability to remain calm under pressure whilst managing many activitiesAdaptability, being able to move from project to project, or from individual work to collaboration and workshopping, seamlesslyKeen attention to detail, and the ability to foresee challenges in a client's requirements and address them earlyExcellent communication; skilled in creating positive client relationships and communicating clearly and openlyAn eagerness for improvement, an openness to change, and an appreciation for reliable ways of working.Desired: Experience within the ecommerce industry, not necessarily in an identical roleExperience using Shopify, or similar and related tools/softwaresExperience with interface design tools (preferably Figma).Experience with web design user experience (UX) and development.
