The Opportunity
We are looking for an Administration superstar with a "can-do" attitude to support our growing Integrated Primary Mental Health Service (also known as Te Tumu Waiora). Fresh Minds is ProCare's leading mental health and wellbeing service, playing a key role in revolutionising access to primary mental health services.
At Fresh Minds we are passionate about working with our clients to ensure they have the tools needed to navigate their own journey in the best way possible. The Programme Coordinator is the central support system that allows the Te Tumu Waiora team to function effectively.
You will provide crucial administrative, coordinative, and reporting support to the Te Tumu Waiora Operations Manager and leadership team. Working closely with the Team Leads, you'll assist with the coordination of resources, the supporting of the delivery and operational teams, and generally helping to ensure we are on track to achieving great outcomes.
The Programme Coordinator will provide reporting support to analyse data, proactively identify any gaps in service delivery, and ensure our contractual obligations are fulfilled.
The successful candidate will have the following key skills/attributes:
Demonstrated strong administration skills and high attention to detail.
Experience with project/programme coordination.
Strong customer service experience and a can-do attitude.
Monthly invoicing is collated and ready for Operations Manager approval in LogiQC or via Request for Invoices directly with Finance.
Purchase order management - obtaining quotes as required and loading them into our internal system.
Previous recruitment experience is desired but on-the-job training is available.
Coordinate IT for new staff, set up individual orientation plans, and coordinate new staff orientations.
Drive efficiencies by planning and coordinating orientations for cohorts of new hires.
Intermediate/advanced computer skills, including MS Word and Excel.
Thrives in a fast-paced environment.
Focus on high-quality standards and continuous improvement.
Collate and track compulsory training and other team training, as well as practicum dates and in-practice days with trainer for endorsement and compliance requirements.
Create surveys in Survey Monkey, Create Campaigns in Campaign Monitor, and Create Forms in Jot Forms (previous experience would be advantageous).
A desire to understand and appreciate Te Tiriti o Waitangi and its application to Fresh Minds/ProCare and how it shapes our efforts.
Qualifications and Experience Required:
Minimum of 3 years' experience in administration with a project/programme coordination focus.
Proficient in MS Office suite (Database experience is an advantage).
Experience in an administration/customer service setting.
Experience working with health professionals or in a similar environment is preferred.
Experience with purchasing and financial systems.
Qualification in Health, wellbeing, or similar would be advantageous.
