Position Overview: We're seeking a master of detail who knows how to make things happen to join our Mt Maunganui-based team. The successful candidate will bring a variety of skills and experience to our small but growing team, including a foundation in agency/design traffic or studio management and a strong understanding of marketing and digital outputs to lead the management and coordination of our projects and the workflow of our internal studio and digital team. Key Responsibilities: Resource Allocation: Assign tasks and projects to the team based on skills, availability, and workload capacity. Project Scheduling: Create and maintain project schedules, ensuring that deadlines are met and that there is a clear understanding of project timelines. Workflow Management: Initiate, develop and enforce workflows and processes to streamline project progression from initiation to completion. Communication: Act as a central point of contact between different teams ensuring that information flows smoothly and that everyone is informed of project status. Prioritisation: Assess project priorities and allocate resources accordingly to meet critical deadlines. Problem-Solving: Identify and address potential bottlenecks or delays in project execution and propose solutions to keep projects on track. Quality Control: Ensure that projects meet quality standards and that all necessary approvals and reviews are completed before delivery. Brief Development: Work alongside the leadership team to understand critical projects, timelines and outcomes and assist the CMO in developing clear and actionable briefs. What you'll bring to the role: 5+ years experience in production, studio or traffic management is essential, with a good understanding of the marketing/advertising/design environment. Exceptional organisational and time management skills to handle multiple projects and tasks simultaneously. The capacity to work collaboratively with various teams to ensure project success, and strong written and verbal communication skills for effective inter-team coordination. A keen eye for detail to ensure accuracy and quality in project management. Problem-solving skills and an ability to identify issues or challenges and propose solutions to keep projects on schedule. A strong understanding of management/workflow automation software such as Monday (or similar platforms like Asana or Trello) for task management, project scheduling, and collaboration. A good grasp of file sharing and collaboration tools like Google Workspace for managing, sharing and collaborating on project-related documents and files.
