The Procurement team at the Christchurch City Council operates as an integral part of Corporate Services acting as a shared service provider and enabler to the Council's business units.

This position works mostly with the Engineer's Representative, within the Procurement and Contracts Infrastructure team, to:
Ensure all contract-related documents, including extensions, insurance certificates, variations, and other amendments, are consistently updated and stored in Council's record keeping system.
Prepare contractual documents, including Ordered works, variations, contract extensions, and other associated agreements, with clarity and accuracy and lead the process of getting the documents signed internally and by the supplier.
Update the SAP Financial system to reflect any changes to contracts, including schedules of rates (SOR), contract timelines, and other key contract data, ensuring data integrity and real-time accuracy.
Compile and prepare the spend analysis data to identify contract spend trends and opportunities for cost optimization.
Provide clear and actionable reports to the Business unit for informed decision-making.
Facilitate contract review meetings with business units to evaluate contract performance, discuss financial spend report, address compliance issues, and discuss potential improvements or modifications to meet evolving business needs and update it in the contract management plan.
Assist in the negotiation and renewal of contracts, ensure all the required documents are prepared, and the change is updated in the system and the records are properly saved.
Develop and maintain accessible records of all contractual transactions, changes, and supporting documents, and save all the required document.
Identify opportunities for improving contract management processes and workflows in supporting the contract manager.
Criteria: Key skills, experience and knowledge (based on recent market availability) includes:
Experience at contract management, contract administration or project administration
Excellent verbal and written communication skills
Strong analytical skills
Excellent organisational skills
Experience working in a similar organisation
Very good knowledge of Microsoft applications (particularly MS Word and MS Excel)
Training/Education in Procurement, Project Management, Contract Management, Commerce, Business, Finance or Law

Hours of work: Fixed Term/Secondment up to 3 months
Location: This position is primarily based at Civic Offices - 53 Hereford Street, Christchurch
Salary: The salary band for this position is $69,744 - $77,493 per annum based on a 40 hour week. Starting salaries will be based on knowledge, skills and experience the successful candidate brings to the role, and relativities both within the immediate team and in the broader organisation for the same or similar roles.
