Our Directors play a vital role in this mission, and we are seeking a highly organised and professional Personal Assistant (PA) to support our two Directors in managing their leadership responsibilities effectively.The Role: As the Personal Assistant to the Directors of Maori Digital and Crown Relationships, and Strategy, you will provide essential administrative and organisational support. The Directors have both internal and external leadership responsibilities, engaging with a wide range of stakeholders, including Ministerial staff. Your ability to anticipate the Directors' needs and efficiently manage their schedules, communications, and documents will be critical to the smooth operation of their leadership responsibilities.Key Responsibilities:Diary and Schedule Management: Efficiently manage the Directors' calendars, appointments, and travel arrangements.Meeting Preparation: Anticipate needs by preparing documents and briefings in advance of meetings.Correspondence Management: Prioritise and handle communications, ensuring confidentiality and timely responses.Partner and Stakeholder Engagement: Serve as a first point of contact, managing queries and relationships with professionalism.Administrative Support: Prepare reports, presentations, and correspondence with high accuracy.Meeting Coordination: Organise meetings, take minutes, and ensure the timely distribution of agendas and action points.What You Will Bring:Proven experience as a Personal Assistant, with knowledge of both public service and machinery of government or in the corporate sector.High proficiency in Microsoft Office 365 tools and document formatting.Exceptional organisational skills with the ability to manage multiple tasks and prioritise effectively.Strong attention to detail and high-level accuracy in documentation.Excellent communication skills, both written and verbal, with a professional, courteous approach.Ability to handle sensitive information with discretion and maintain confidentiality.Experience with diary management, meeting coordination, and travel arrangements.A proactive problem-solver who can anticipate needs and offer solutions.Why Join Us?
