About the opportunity | Te whiwhinga mahi In the newly created Operations Optimisation (OO) function, the role of Personal Assistant presents an exciting opportunity to support the Director of Operations Optimisation and one other COO Director. This role will be key to ensuring the smooth and efficient functioning of the Directors' respective functions.
Key accountabilities include: Supporting the Director of Operations Optimisation and one other COO Director through effective assistance in the coordination of key priorities, time management, and monitoring of challenging agendas.
Managing the daily schedule, including email and mail monitoring, appointment setting, and onboarding new managers and senior support staff.
Researching, compiling, and maintaining information and files for presentations and reports, ensuring accuracy and completeness.
Handling travel arrangements and processing P Card expenses.
Managing meeting logistics, including notifications and preparation of papers.
Organising functions, events, and leadership events, and producing team/BU communications.
Maintaining high standards for all outgoing communications, documents, and presentations.
Liaising with the wider Fonterra PA team and working with the BU Technical Assistant to ensure broader networking and support.
About you | Ko wai koe You will be a professional, friendly, and highly skilled Personal Assistant, known for creating a welcoming atmosphere.
You will have proven experience supporting at a senior level and have an acute understanding of the confidential and discreet nature of the content you are managing. You think quickly on your feet while supporting various key tasks and are always one step ahead.
In addition, you have:
Exceptional time management skills and attention to detail. You thrive in managing tight deadlines and juggling multiple demands while remaining calm under pressure.
Outstanding written and verbal communication skills.
Exceptional relationship management capability, communicating with staff at all levels.
The ability to make decisions based on sound judgement or escalate as appropriate.
Confidence in dealing with ambiguity is a must. You are known for being composed and focused under pressure.
