We are looking for an Office Manager to assist with the management of our dynamic and growing team.This role will include a combination of general tasks required to keep the business and team running smoothly. Candidates will have administration experience, ideally within professional services. Proficiency with Xero, Excel, and project management software is required, and construction or design industry knowledge is a bonus.This is a part-time role that is open to flexible working hours, part days or short weeks. We are looking for applications from people who are keen to take ownership of the role and enjoy a creative, energetic environment with a collaborative young team.Key Responsibilities:Office Administration: Oversee all office functions, including workspace management, procurement of supplies, and maintenance of office equipment.Job Set up: Setting up new jobs in Workflow Max and our various databases, ensuring that all required information has been provided.Financial Administration: Monthly invoicing, day-to-day bookkeeping in Xero, managing debtors and banking.Formatting documents: Design certificates for building consent applications, compiling document registers and managing company document templates.HR & Recruitment Support: Monthly payroll of 9 staff, coordinate onboarding of new employees, manage employee records, and assist in recruitment efforts.Client Coordination: Serve as a point of contact for clients, helping to manage correspondence and ensuring seamless communication, issuing design documentation.Process Improvement: Develop and implement office policies and procedures to improve efficiency and productivity including tracking and managing QA requirements using Excel and our office intranet.Health and Safety: Manage and implement our H&S policy, including any required updates.Company Culture: Organizing events including weekly team lunches and regular team get-togethers.Requirements:Must have experience working with Xero and Workflow Max project management software and Microsoft Office (Excel and Word will be used regularly).Experience as an office manager or administrative role in a consultancy environment is preferred.Day-to-day financial management including basic bookkeeping in Xero, invoicing and banking.Strong organizational, multitasking, and time-management skills.Excellent communication and interpersonal abilities.Ability to work independently and handle confidential information.Why Join Us?Competitive salary and benefits package.Opportunity to work with a talented and innovative team of structural engineers.A supportive, fun and collaborative workplace culture offering flexibility.Opportunities for professional growth and development.Join us in driving excellence and innovation!
