The ideal candidate will be responsible for overseeing the day-to-day operations of our office, ensuring a productive and efficient working environment. They will play a crucial role in supporting management and assisting all departments through effective administrative practices.Key Responsibilities:Office Operations Management:Manage daily office activities and ensure the office operates efficiently and effectively.Oversee office supplies inventory, procurement, and supplier relationships to maintain a well-stocked and organized workplace.Implement and maintain office policies and procedures to enhance workflow and productivity.Administrative Support:Provide administrative support to the management team, including scheduling meetings, maintaining calendars, and coordinating travel arrangements.Assist with document preparation, data entry, and communications to ensure accuracy and clarity in all formats (print and digital).Handle incoming and outgoing correspondence, including emails, packages, and phone calls.Human Resources Coordination:Assist in the onboarding process for new hires, including preparing welcome packages and facilitating orientation.Maintain employee records, manage employee benefits administration, and assist with regulatory compliance.Facilitate communication and engagement among employees to promote a positive company culture, including organizing team-building and social events.Financial and Budget Management:Monitor office budget and prepare regular reports on expenditures.Process invoices and expense reports in a timely manner, ensuring accuracy and compliance with company policies.Facility Management:Coordinate maintenance and repairs of office facilities and equipment.Ensure the office environment is clean, organized, and conducive to work, addressing issues as they arise.Implementing Technology Solutions:Stay updated on the latest tools and technologies to improve office efficiency.Lead the transition to new technologies and ensure staff are trained adequately.Qualifications:Bachelor's degree in Business Administration, Management, or a related field is preferred.Minimum of 4 years of relevant experience in office management, administrative support, or executive assistance.Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.Strong understanding of office management procedures and best practices.Personality Traits:Independent: Ability to manage your workload and prioritize tasks with minimal supervision.Reliable: Strong commitment to responsibilities with a track record of meeting deadlines and managing expectations.Soft Skills:Critical Thinking: Ability to think analytically and solve problems creatively to enhance operational efficiency.Time Management: Excellent organizational skills with the capability to manage multiple tasks simultaneously and meet deadlines.Benefits:Paid sick leaveRelocation allowanceParental leaveWorking Environment:At Enterprise Products Partners, you will unleash your creativity in a setting that celebrates and nurtures innovation.
