As an administration assistant, you will provide essential support to the existing office administration team, ensuring the smooth and efficient operation of day-to-day activities. Your role will involve capturing precise and comprehensive meeting notes, preparing materials for upcoming sessions using Microsoft Outlook, Excel, and PowerPoint, and assisting with calendar management and expense tracking. You will play a key part in ensuring decisions and action items from meetings are accurately recorded and followed up on in a timely manner. Additionally, you will help maintain office organization by managing supply orders and supporting the upkeep of office standards. Your proactive, detail-oriented approach will contribute to a well-organized, collaborative environment and help keep all team activities running seamlessly.
This is a 4-month contract role starting on 6 January 2025, with the potential for permanent opportunities for an exceptional candidate.
To be successful in the role you will need:
Highly proficient with Office, Excel, and PowerPoint
Experience in large organizations or managing multiple priorities
A self-starter: takes initiative, works independently, and proactively drives tasks to completion.
Agility required in adapting to shifting priorities

Key tasks include:
Take detailed notes during sessions to ensure all key points are captured
Prepare content in Excel and PowerPoint for upcoming sessions
Support calendar planning, manage expenses, and uphold general office standards
Ensure all meeting decisions are accurately recorded and updated the following day
Track and follow up on action items from previous meetings
Order stationery and other office supplies as needed
Maintain organization and ensure smooth operation of daily administrative tasks
