Job Description:
We are seeking a proactive, detail-oriented Office Administrator to join our busy criminal law firm. This is a part-time role, ideal for someone early on in their studies. Hours of work will be Monday to Friday, 7:30 am - 12:30 pm. This role is essential to maintaining efficient office operations, managing client files, and supporting legal staff with document preparation, billing, correspondence, and calendar management. No prior experience in administrative support is required. We simply seek someone with a strong work ethic and excellent communication skills.
Key Responsibilities:
Client File Management : Open and maintain client files, ensuring all necessary documents, disclosure, and client correspondence are accurately recorded and organised.
Billing and Invoicing : Prepare and submit invoices and monitor payment statuses.
Calendar and Correspondence Management : Manage the firm's calendar for court dates and client appointments, and keep all correspondence organised and up-to-date.
Document Preparation : Assist in drafting legal documents, submissions, and client communications, and conduct research as needed to support legal staff.
Office Administration : Maintain the firm's database, oversee general office management tasks, archive closed files, and foster a welcoming environment for clients.
Qualifications and Skills:
Excellent organisational and multitasking abilities.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (OneNote, Excel, Word).
Knowledge of legal aid billing and database management is a plus.
Ability to work independently and manage time effectively in a fast-paced environment.
