The Groups, Meetings & Events (GM&E) department is responsible for driving sales activity in order to maximise rooms, groups, conference and events revenue, through pro-active selling and conversion of customer enquiries into confirmed sales.
What will I be doing?
As the Groups, Meetings & Events Executive, you will be responsible for performing the following tasks to the highest standards: Consistently review own level of skill and actively identify further personal development requirements with the GM&E Manager.
Work and contribute to a culture of learning and development where you take an active part in your own learning experience.
Work and co-operate with others, taking part in departmental meetings, Banquet Event Order Meetings (BEO), team briefings and project work, supporting other team members and providing assistance when necessary to ensure the team collectively achieve their goals.
Develop good relationships with other departments thereby enhancing your own work experience but also contributing to an improved customer experience.
Seek opportunities to increase sales and conversions within the team.
Produce written confirmations and quotations for clients in a timely manner and follow-up to try to convert the business.
Conduct tours of the hotel and function areas always displaying the hotel in its best light.
Liaise with all hotel departments (Food & Beverage, Kitchen, Housekeeping, Front Office etc.
), to make sure that the client has a hassle-free event with personalised service.
Build strong relationships with customers to exceed their expectations.
Create a WOW factor for our customers by identifying their needs and providing solutions to match and exceed them.
Prepare marketing strategies and department budgets and forecasts.
Contact the customer after the event to check on satisfaction and pass feedback on to relevant departments.
Be timely and proactive in all your dealings with both internal and external customers.
To keep abreast of hotel and company activities that impact the customer.
Work actively to convert enquiries into contracted business and meet and greet clients pre-function.
Respond positively to sales opportunities to maximise revenue.
Manage an events diary to yield maximum return.
Proactively look for up-selling opportunities and participate in hotel promotional activities.
Maintain sales records and mailing list to enable maximum utilisation of database for client retention, promotions and entertainment.
Adhere to credit policies and ensure all administration is completed for the execution of all planned events.
Prepare Event Invoices, collect pre-payment & close event financial accounts.
Prepare C&E daily, weekly pickup reports in the absence of the GM&E Manager.
Fully understand the Group, Meeting & Events performance against the KPIs, taking appropriate action to close gaps and maximise opportunities.
Obtain full knowledge of Competitors products to understand product positioning in market and hotel and competitor key strengths.
Manage and record all regretted business and ensure the timely follow up of prospected business.
What are we looking for?
An Groups, Meetings & Events Executive serving Hilton Brands is always working on behalf of our Guests and working with other Team Members.
To successfully fill this role, you should maintain the attitude, behaviours, skills, and values that follow: Previous experience in a Sales environment within the travel industry.
Proven selling, negotiating, decision making and presentation skills.
Ability to 'close' a sale.
Good communication skills, both verbal and written.
Attention to detail combined with excellent administration, analytical and organisational skills.
Ability to work in a fast-paced environment and be able to multi-task.
Competent with systems, and Microsoft Office Suite and Delphic FDC.
A sound knowledge of in-house reservations systems, ONQPM.
