Gifts in Wills Coordinator - Supporter Event Full-time
Primary Location: Canterbury
Contract Type: Permanent Full Time
Hato Hone St John has been serving New Zealanders and working to save lives since 1885. As well as providing Ambulance Services, our programmes and team of over 11,000 staff and volunteers are helping to build strong, resilient communities across the motu; supporting everyone in Aotearoa to live healthier, happier and longer lives.
Be part of nurturing appreciation of St John as a pathway for life legacy and honouring the donor's wishes as guardians of their gift, while staying aligned with our values and organisational needs.
The Fundraising team has an exciting opportunity for a confident, competent, multi-disciplined, and multi-tasking coordinator to join them. This national role will take responsibility for effective coordination of the Supporter events, including the post-event follow-ups, to achieve and optimise the Fundraising goals and programme delivery. A Supporter event is a morning/afternoon tea event that the Fundraising team facilitates to update donors on how their support is making an impact in the community and for them to meet the local St John team.
You will take part in coordinating communications and providing support for the Supporter events, liaising with the donors, and internal and external stakeholders, and representing the interests of St John. This role will also coordinate the pre-event and post-event follow-up of donors and bequestors.
Collaborate with the wider Fundraising team, Community Engagement, Operations, and other appropriate St John stakeholders on the event invitations and event organising in a professional and timely manner whilst following the St John protocols.
Respond to enquiries from supporters, communicate with donors and the public in a courteous and timely manner, ensuring prompt action is taken to resolve any issues.
Be the first point of contact for supporter event enquiries from bequestors and as directed by the Fundraising Manager or Fundraisers, maintaining a high quality and standard of donor stewardship for new and existing donors responding sensitively and professionally.
Ensure timely and accurate information documentation post-event, for infographic reporting and record-keeping for each Supporter event, always ensuring the CRM and other Supporter Events trackers are updated and current, and all relevant parties are communicated with as needed.
Thank the internal and external stakeholders separately via emails. Email the Supporter Event questionnaire to the donors and record any tasks and to be actioned related to the event.
Follow up with the bequest donors who attended the Supporter Events as part of the bequest pipeline process, through emails or phone calls.
Assist in summarising and reporting on the responses from the Supporter Event questionnaire.
Proactively seek ways to improve or enhance supporter events processes and procedure.
Ensure that information and administrative aspects of Supporter Events are consistent with the overall Gifts in Wills programme.
Assist with other administration, planning, and reporting as may be needed from time to time.
