The role involves managing incoming and outgoing accounts, overseeing financial reporting and forecasting, as well as administering key systems, including Netsuite. This position requires an individual with strong attention to detail, analytical skills, and a solid understanding of financial operations and system management.Key Responsibilities:1. Incoming / Account Receivables:Customer Account Setup: Create and maintain customer accounts in the financial system.Credit Checks: Conduct credit checks to assess the financial stability of new and existing customers.Invoicing: Generate and send accurate invoices to customers in a timely manner.Follow-Up & Collections: Actively follow up on outstanding invoices to ensure payments are received within terms.2. Outgoing / Account Payables:Purchase Payments: Ensure timely payments for all company purchases and expenses.PO Matching: Match invoices to purchase orders (POs) for accuracy before processing payments.PO Closures: Close purchase orders in the system once payments are completed.International Payments: Handle the processing and approval of international payments, ensuring compliance with applicable regulations.3. Finance Management – Operational Oversight:Cash Flow Forecasting: Develop and maintain accurate cash flow projections to ensure business operations remain well-funded.Budgeting: Lead the budgeting process at the start of the year and monitor throughout the year to ensure financial goals are met.Tracking Overheads: Monitor and report on company overheads, working to identify areas for cost reduction.Back Costing: Track job costs on a per-project or per-job basis to ensure financial targets are being met.Gross Profit (GP) Monitoring: Analyse product gross profit against targets/quota to ensure profitability.Delivery in Full, On Time (DIFOT): Track and report on DIFOT to ensure operational efficiency and customer satisfaction.GP$/Man Hours (Manufacturing): Calculate and report on GP relative to man hours in the manufacturing process.Monthly Reporting: Prepare and present monthly financial reports for leadership and stakeholders. Maintain and update internal control policy and procedures. Report irregularities to the management.Bank Reconciliation: Perform monthly bank and credit card reconciliations to ensure the accuracy of the company's financial records.FBT Returns: Prepare and submit Fringe Benefits Tax (FBT) returns as required by local tax regulations.GST Returns: Prepare and submit Goods and Services Tax (GST) returns in accordance with local tax laws.Tax Payments: Manage the timely and accurate payment of taxes to relevant authorities.Trade Finance: Oversee trade finance arrangements, ensuring proper documentation and compliance with financial institutions.4. Systems Management:Netsuite Management: Oversee the administration and updates of the Netsuite financial system.Ensure accurate system coding for financial transactions.Update product pricing and financial records in Netsuite as required.System Integration: Ensure seamless integration of financial systems with other company software and platforms.System Maintenance: Collaborate with IT and external vendors to maintain system functionality and troubleshoot issues as they arise.Skills and Qualifications:Bachelor's degree in Accounting, Finance, Business, or related field (CPA or equivalent professional qualification preferred).Proven experience (5+ years) in finance, accounting, or financial systems management.Strong knowledge of accounting principles and practices.Experience with Netsuite or similar financial systems is required.Proficiency in Microsoft Office Suite, especially Excel.Excellent attention to detail and organisational skills.Strong analytical and problem-solving abilities.Ability to manage multiple priorities and meet deadlines.Excellent communication skills, both written and verbal.Knowledge of local tax regulations, including GST and FBT.Experience in international payments and trade finance is a plus.Additional Information:Location: Whangarei, New ZealandReports To: CEOWorking Hours: 08.00-04.30 PMThe Finance & Systems Manager is a key position that ensures the financial and operational efficiency of the business.
