Location / Shift: Manila Office, Morning Shift NOTE: You must be willing to work in the office in the above office location to apply for this position.
Job Description As the Executive Assistant to the Director, you will provide high-level administrative support to the Director of the company.
You will be responsible for managing the Director's schedule, coordinating meetings and appointments, handling communications, and performing various administrative tasks to ensure the smooth operation of the Director's office.
Responsibilities and Duties: Calendar Management: Manage the Director's calendar, including scheduling meetings, appointments, and conference calls.
Prioritize and coordinate appointments to optimize the Director's time and productivity.
Communication Management: Screen and prioritize incoming emails, calls, and correspondence for the Director.
Draft and prepare emails, letters, memos, reports, and other documents on behalf of the Director.
Serve as a liaison between the Director and internal/external stakeholders, including clients, partners, and staff.
Meeting Coordination: Organize and coordinate meetings, conferences, and events for the Director.
Prepare meeting agendas, materials, and presentations as needed.
Take meeting minutes, distribute agendas, and follow up on action items.
Administrative Support: Provide general administrative support to the Director.
Assist with project management as required, to ensure the Director is fully supported in each project.
Confidentiality and Discretion: Handle confidential information with the utmost discretion and always maintain strict confidentiality.
Exercise sound judgment and professionalism in dealing with sensitive issues and confidential matters.
Qualifications: Proven experience as an Executive Assistant or similar role, preferably supporting senior executives or directors.
Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
Strong written and verbal communication skills, with attention to detail and accuracy.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Ability to work independently with minimal supervision and as part of a team.
Discretion and integrity when handling confidential information.
Bachelor's degree or equivalent experience preferred.
