Do you have a keen eye for detail and experience in taking formal meeting minutes? If so, we have an exciting opportunity for you! (Expected start date early November 2024) This role supports the Chief Executive, Group Manager (Community Development), and the Executive Leadership Team. As an Executive Assistant, you will play a pivotal role in supporting senior leadership with administrative tasks, meeting coordination, and high-level operational duties. Your ability to think ahead, provide solutions, and ensure the CE and GM Community Development mahi runs smoothly. Responsibilities: Provide proactive administrative support to the CE and Group Manager Community Development including diary management, travel arrangements, and preparation of documents. Organise and manage formal meetings, including scheduling, agenda preparation, and distribution of materials. Record and produce accurate formal meeting minutes, ensuring compliance with all statutory and organisational requirements. Act as a key point of contact, responding to inquiries and addressing issues with a solutions-focused approach. Assist in the coordination of projects and special initiatives as needed. Maintain a high level of confidentiality and professionalism in all interactions. To be Personal Assistant (PA) to the Controller for Emergency events. Minimum Requirements: Proven experience in a similar Executive Assistant or senior administrative role, preferably within government or a public sector environment. Executive Assistant or related qualifications to NZQA Level 5 (desirable). Demonstrated experience in preparing formal meeting minutes with a high degree of accuracy. Strong organisational and time management skills, with the ability to prioritise and manage multiple tasks effectively. Solutions-focused with a proactive approach to problem-solving. Excellent communication and interpersonal skills, with the ability to build strong working relationships. Proficient in Microsoft Office Suite and other relevant software.
