We are seeking an Executive Assistant to join us in our Napier Support Office.
This exciting role is responsible for supporting the COO and executive management Team with managing the day-to-day administration across the Big Save Group based here at our Ahuriri Support Office.
The role is ideally full-time with flexibility for the right candidate to fit in with school hours, support office based. This role will also see you collaborating with various internal departments and retail stores. Some of your day-to-day responsibilities will include the following:
Assist with HR processes.
Conduct research and gather information to support decision-making and strategic initiatives.
Draft contemporary presentations that resonate with a portfolio of target audiences.
Prepare documents and reports for meetings and key business decision forums.
Act as a liaison between the COO and internal/external stakeholders, maintaining effective communication.
Assist in the preparation of board materials and other confidential documents.
Coordinate and prioritize incoming requests and correspondence, ensuring timely responses.
Handle confidential and sensitive information with the utmost discretion and professionalism.
Manage the COO's calendar, including scheduling meetings, appointments, and travel arrangements.
Assist in organizing and coordinating company events, conferences, and executive retreats.
Perform general administrative tasks, such as filing and expenses.
What you'll need to succeed:
Proven experience as an Executive Assistant or similar role gained supporting C-level executives.
Proficient in building contemporary presentations that convey key messages and brand positioning.
Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
Strong attention to detail and accuracy in all aspects of work.
Ability to handle multiple tasks simultaneously and adapt to changing priorities.
Discretion and confidentiality in handling sensitive information.
Professional demeanor and ability to interact and build relationships with individuals at all levels of the organization.
Excellent knowledge of administration policies, systems, procedures, and technology.
A qualification in Business Administration, Management, or a related field is preferred.
Have a great sense of humor, down-to-earth positive energy to work with professionally presented people!
