We are looking for a supportive and proactive individual to provide unwavering assistance to three Executives in this newly created role. Your experience as an Executive Assistant (EA) will be essential in shaping this position and contributing to this positive and high-performing culture.In this role, you will offer light-touch support to three Executives and their business units. You will work closely with two other EAs to ensure smooth operations for the executive team where no two days are the same.The Executives are down-to-earth, personable, and eager to build a great working partnership with you. They highly value your experience in executive support and await hearing your thoughts and ideas on making the EA role come to life! They appreciate the importance of work-life balance and flexibility, emphasising that the company prioritises this for its employees also.Be a self-starter and make a difference in a business that values its people, embraces diversity, celebrates individuality, and is committed to doing what's right for New Zealanders!Key Responsibilities:Prepare agendas and minutes, and manage paper preparation for various business unitsManage onboarding and offboarding processes for Executives and their direct reportsCoordinate and manage meeting logistics for external visitors related to your Execs' business unitsArrange catering for meetings and functionsHandle executive expenses and cash expensesAssist in managing executive and staff celebrations as well as annual functionsCoordinate travel arrangementsManage calendars and diariesServe as Health and Safety OfficerOversee the SharePoint site to ensure it remains currentProvide project coordination on an ad hoc basisRequirements:Proven experience in executive support or a similar roleExcellent organisational and time-management skillsStrong communication and interpersonal abilitiesProficiency in Microsoft Office Suite and SharePointAbility to handle confidential information with discretionFlexibility and adaptability to manage multiple tasks and prioritiesPlease note: It is a requirement that you must already hold a NZ Passport or valid working visa to apply for this role.
