Job Description We are now on the lookout for an experienced EA to come join us.
You will have a unique vantage point to learn the business and work with our GMs and other senior executives across key areas of Merchandise. Your role involves providing a highly proactive and confident level of executive assistance, administration and office management support to 4 GMs.
Thus, enabling them to operate efficiently, effectively and achieve their strategic objectives delivering best in class Merchandising for The Warehouse Group.
Key responsibilities will include: Executive Support to four General Managers within our Merchandise area.
Extensive calendar management – proactively managing multiple calendars and complex demands across a variety of stakeholders, both internally and externally.
Problem solver / critical thinker, who can quickly deliberate on their feet to identify solutions. Extensive collaboration within the EA group.
Office management activities including acting as a key point of contact for visitors and team members. Ordering stationery and other supplies whilst being mindful of spend.
Proactively managing off-sites and events for the team(s) including planning, managing resources, logistics and collating content. Communicating with presenters and attendees to ensure a seamless event Providing financial support - reconciling, coding and submitting expenses. Creation of purchase orders. Liaising with finance partners to ensure budgets are kept on target Organising senior management meetings, managing attendance, resources and agenda preparation, minute and action taking where required.
Travel management – working with our travel agents / booking tool to create domestic and international itineraries.
Adept at managing complex travel requirements Assisting with various administrative duties and one-off projects accurately and efficiently Acting as a trusted advisor to GMs, building great relationships and pre-empting needs. Delivery of outstanding customer service to a range of stakeholders.
Qualifications Your knack and ability to flex to the different GM styles and needs will be key, coupled with your top-notch communication and organisational skills. Your natural ability to deal with a wide range of people (in a variety of situations) and at times in a pressured environment will see you fit right at home.
Meticulous attention to detail, judgement and discretion describe you down to a tee. Our environment is fast paced and constantly changing so we will rely on your comfort to adapt and work in the grey.
Extensive experience working in support roles to senior executives within large complex organisation Strong understanding of a commercial environment and structure and various operations and functions of a business Fantastic Word, Excel, PowerPoint, Outlook skills – you'll enjoy working with several different applications and be only too willing to share your knowledge.
