Role OverviewWe are seeking a highly organized and detail-oriented Executive Assistant to join our team and help streamline our processes and systems. This role is crucial in managing and optimizing our operational systems, handling a variety of tasks including CRM management, website updates, and client onboarding.
Responsibilities:Manage and organize CRM systems and tracking tools (e.g., Mailchimp, Thinkific)Oversee and update systems like Mailchimp and ThinkificUpdate and maintain website and landing pages (training will be provided)Organize important dates and schedules with precisionStructure and measure leads, ensuring proper tracking (training will be provided)Create templates, documents, and standard operating procedures (SOPs)Direct message (DM) clients and leads (no sales experience required)Assist with copywriting and script creationMaintain and organize filing systemsReconcile accounts and track financial data (basic level, training will be provided)Support client onboarding processesEnsure a high level of attention to detail in all tasksBe a superstar in organization and planningRequirementsProven experience as a Virtual Assistant, Operations Assistant, or similar roleProficient in using CRMs, Mailchimp, Notion, Thinkific, or similar systemsCreative skills and a basic understanding of websitesExceptional organizational and planning abilitiesHigh attention to detail and accuracy in workExcellent written and verbal communication skillsAbility to create templates, documents, and standard operating procedures (SOPs)Ability to learn or have had experience in onboarding processes and client managementAbility to work independently and handle multiple tasksTech-savvy with experience using automation tools and systems (training to be provided)Willing to learn reconciliation and basic financial tasks
