Administrative Assistants (Administration & Office Support)Full timeWe are a national team working at the cutting edge of environmental management in New Zealand, providing specialist advice on complex planning and resource management issues including large-scale, nationally significant projects.About the opportunityThis role's core focus is general administrative support, a key part of this being instrumental in supporting our consultants by preparing, formatting, and enhancing the visual presentation of their projects. In addition, you will assist our Chief Executive with scheduling meetings, booking travel, and managing their daily inbox. Accounts administrative duties will also be required, assisting with loading and filing expenses, checking accounts emails and updating jobs within our project management system.You will be one of 3 administrators within our national team, reporting to the Corporate Support Lead. Whilst this role is based in Auckland, you will provide support as needed across our other offices.Key ResponsibilitiesDaily office management, acting as a point of contact for clients as appropriate, including organisation of meetings both internally and externally and any other related requirements.Provide administrative support to consultants, helping prepare and format presentation materials, reports, and other deliverables to ensure all work is professional and aligning with our brand.Act as the core Corporate Support Administrator during invoicing periods, collaborating closely with the Finance Lead and Corporate Support Lead to enhance operational efficiency and accuracy.Continuously look for ways to optimise business processes to enhance team productivity and effectiveness.Manage travel, accommodation and associated logistics for internal Mitchell Daysh team.Maintain and update internal databases, ensuring accurate records, easy access to information. Write SOPs for best practice methods on daily operational tasks, ensuring our records of suppliers, client details and finance actions are up to date and accurate.Be a contact point for our IT administrator to assist with IT issues when needed, whether this is the boardroom TV or someone having trouble with their laptop.Support other Corporate Support team members to collectively manage workloads, to ensure team deliverables are met.About youWe are looking for an outstanding individual with a service delivery focus, a strong understanding of business systems and processes, and who enjoys a fast-paced environment.You will be an administrator with previous experience, sound skills in MS365, and have the following attributes:Take a "whole of organisation" approach – muck in as needed to get things doneA confident communicator who can read the room and adapt your approach to cohesively work with team membersHigh integrity and standards for your own performanceSelf-awareness and a desire to learn and developDetail-oriented – you enjoy finessing the small things and making sure our professional presentation is of a high standard.
