Reception Deal with incoming calls, visitors, and queries, directing them to the appropriate staff member as required.
Opening, distributing, and sending mail | courier Dealing with couriers for both incoming and outgoing items as required, including mail, customs declarations, and freight.
Student attendance notifications Ensuring reception area is a tidy and welcoming space.
Ensuring stationary, training resource, cleaning products orders are done and distributed monthly.
Ensuring company vehicles are well maintained, vehicles are signed for, and the logbooks are up to date.
Keeping an up-to-date record of Chromebook, owning the process of the issuing and safe return of Chromebook Manage any printing or bulk photocopying requests as required.
Provide support with the hosting of any on-site meetings and organising of Campus events e.g., graduation, open days, school visits, industry visits, Whanau nights.
Take meeting minutes when required.
Takes responsibility for solving customer queries, following each through to conclusion in a helpful, friendly, and timely manner.
Staff Support Provide administrative support to the Campus Manager and Training team when required.
Support the Sales Team with enrolment processes and administrative support when required.
Provide support to visiting staff from other offices.
Raise purchase orders and liaise with accounts for invoicing, when requested.
Administration/Information Management Archiving of documentation as appropriate, and retrieval of documentation held in archive, Maintaining clear documentation of Chromebook, taking ownership of their release to students.
ensuring monthly audits are accurate and seamless.
Report Campus attendance on a weekly basis Report and communicate Trades attendance to the Highschool and relevant staff.
Ensure PTE and work-base learner details are entered accurately into Selma, Canvas and wisenet.
Create student logins in Canvas and that students receive this information in a timely manner.
Report and communicate new online enrolments each intake.
Enrol online students into new blocks each month using Canvas.
Assist the Registry dept.
when required.
Scanning and filing of enrolment forms, student completion evidence, and similar documents.
Maintain accurate client records and files, both soft and hard files.
Prepare ad hoc and scheduled reports from wisenet when required.
Adheres to process, performance & quality guidelines to ensure service standards are met consistently.
Provide training and or administration support to Skills staff, clients, and stakeholders.
Contribute to the development of client focused systems and communications/publications.
Finance Management Handling and coding of invoices as received, verification and sending on to accounts services.
Desired Skills and Experience Your qualifications & skills: NCEA Level 1 or 2 or equivalent skills and knowledge Excellent knowledge of Microsoft Office programmes i.e., Word, Excel, PowerPoint Full drivers' licence.
Ability to manage multiple tasks.
