About the job In this role, you'll use your highly organised and proactive approach to help keep our busy offices in Wellington and Auckland running smoothly. Your role will be wide-ranging and include helping with a range of business support tasks from ordering supplies, helping administer our business tools, accounts and HR support, and helping organise our team and customer events. You'll report to our Business Support Manager and have opportunities to grow your career with ComplyWith as the business continues to expand. This is a full-time role, on-site in our Wellington waterfront office. As you'll be the go-to person for business support, your presence in the office is essential to keep things running smoothly. What you'll be doing In this diverse business support role, your work will include: Keeping our Wellington and Auckland offices running smoothly. You'll be responsible for a range of office tasks including: ordering office supplies and equipment organising catering and wellness initiatives liaising with contractors, our property manager/landlord, and IT providers clearing our post box, and sending posting and couriering items general office support to our Wellington team. Helping administer our business support tools Providing accounts support, including: entering and uploading supplier invoices, bills, receipts, and expense reports into Xero supporting our monthly customer invoicing chasing unpaid invoices and filling in supplier forms Providing HR support, including: organising onboarding, induction, and exit processes setting up annual and 6-monthly performance reviews supporting recruitment processes Helping document business support processes Organising team meetings, team events, celebrations, gifts, conferences, customer events and webinars, including: booking travel, accommodation, venues, and catering setting up webinars and managing registrations managing event logistics including liaising with key venue contacts and organising marketing materials organising gifts and planning for the delivery of our signature ComplyWith chocolates. You'll have mentoring and support from the Business Support Manager to get up to speed. You'll also work closely with other members of the wider ComplyWith team to support their work. The ideal candidate will demonstrate the following: A business administration certificate or diploma is preferred, but what's more important is that you can demonstrate the ability to rapidly learn and understand new processes and tools Prior business support, administration, or executive assistance experience is preferred but not essential A natural communicator who is engaging and cheerful A proactive mindset, you'll see what needs to be done, roll up your sleeves, and make sure it happens Attention to detail, and excellent communication and interpersonal skills (and sometimes patience) An ability to work both independently and collaboratively, within a close-knit team Great time and process management skills to help you manage multiple tasks at once A problem-solver with a drive to learn and take on new challenges in a collaborative and practical way A values-driven personality and a desire and ability to work in a way that's aligned with our Guiding Principles.
