This role is perfect for someone who thrives in a supportive, multifaceted environment and has a keen interest in administrative and operational excellence.About the Role:The Board Secretary and Operations Coordinator will play a pivotal role in supporting our Sports Director and ensuring the smooth running of our operations. You will be responsible for a range of administrative duties, including preparing board reports, minute-taking, assisting with funding applications, managing financial reporting through Xero, and supporting general operational tasks.This is a part-time position with flexible hours, offering an excellent opportunity for a detail-oriented, organised, and proactive individual looking to make a meaningful contribution to the world of physical activity.Key Responsibilities:Provide administrative support to the Sports Director, including calendar management and correspondence.Compile, format, and distribute board reports and meeting materials.Take accurate minutes at board and other key meetings, ensuring timely distribution.Assist with funding applications and grant submissions to support our activations and events.Responsible for managing the organisation's Xero accounting system, processing invoices, online payments and generating financial reports.Coordinate logistics for meetings, events, and workshops.Maintain organised filing systems for governance, financial, and operational documents.Support day-to-day operational tasks and project deadlines.Continuously improve administrative processes to enhance operational efficiency.Skills, Experience, and Education:Proven experience in administrative roles, ideally within the sports, non-profit, or governance sectors.Strong organisational skills with the ability to manage multiple tasks and meet deadlines.Excellent written and verbal communication skills, including report writing and minute-taking.Proficiency in Xero or similar accounting software, with a basic understanding of financial reporting.Attention to detail and accuracy in administrative and financial tasks.Experience with funding applications and grant systems is an advantage.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Ability to work both independently and as part of a team.Experience supporting boards or committees is desirable.A tertiary qualification in administration, business, or a related field is preferred but not essential.Why Join Us?Flexible, part-time hours that offer work-life balance.An opportunity to contribute to the growth and success of various physical activity events and activations in Canterbury and the West Coast.Be part of a passionate team that values community engagement and the positive impact of physical activity.How to Apply:If you're excited about this opportunity and think you're the right fit for our team, we'd love to hear from you!
