Team Administrator – Journeys Infrastructure Recovery Programme As the Team Administrator for the Journeys Infrastructure Recovery Programme, your primary responsibility will be to provide high-quality administrative support to the Managers and staff involved in the programme. You will ensure efficient and professional administration of day-to-day tasks, contributing to the smooth operation of the team. You will provide coverage for other Team Administrators as needed, maintaining seamless support across the wider team during times of absence. Your role is key to ensuring the effective delivery of the infrastructure recovery programme. This role is fixed term, for 12 months. You'll recognise the importance of the role as a Treaty partner and understand how that underpins Gisborne District Council's work. Responsibilities: Book travel and accommodation via the Corporate Traveller system for staff. Provide Microsoft suite support for creating correspondence, spreadsheets, presentations, and other documents. Organise meetings and workshops, including preparing agendas and papers, minute taking, booking rooms, arranging catering, and setting up equipment. Create Electronic Purchase Orders (EPOs) and manage approvals for claims and invoices. Coordinate, compile, format, and proof council and committee reports, ensuring deadlines are met. Develop and maintain professional relationships with staff, customers, and stakeholders. Minimum Requirements: Business Administration Certificate or similar and/or equivalent work experience in a similar role. Ability to work with a team at all levels of an organisation. Demonstrated strong communication skills, both verbal and written. Demonstrated skills to an advanced level using the range of Microsoft Office products (Word, Excel, PowerPoint). Demonstrated experience taking minutes and administering meetings. Ability to work independently and be fully responsible for setting and meeting own targets. Attention to detail and the ability to spot errors and inconsistencies. Must have the ability to multi-task and manage competing priorities.
