This role will support two different teams but will be part of the General Regulatory Operations (GRO) team who support, encourage and require compliance with safety, environmental, and health and safety at work regulations.
While undertaking these core activities, the GRO teams also increase MNZ's understanding of the causes and drivers of non-compliance and utilise this information to enhance our education, engagement, and enforcement efforts.
You will also work closely with our HSWA Regulatory Operations team, which provides expert delivery, leadership, and HSWA specialist advice to enable Maritime NZ to achieve excellence in delivering its functions as a designated HSWA regulator.
Te tunga | The role As the Support Coordinator, you'll be the key relationship between the Hub Office and its associated satellite offices. You'll support the General Regulatory Operations Managers associated with the Hub and the Manager HSWA Regulatory Operations to ensure the teams and functions run smoothly and that a positive, safe, inclusive, and collaborative working culture exists within the Hub.
You'll be the first point of contact for the general public and our external stakeholders, providing them with first-class customer service and being the go-to person for all Hub-related matters, including emergency response situations affecting the Hub Office while coordinating Hub-related activities as required.
Day to day, you'll provide administrative support to the Managers (GRO and HSWA), Maritime Officers, Maritime Inspectors, and HSWA Specialists, as well as general office management and administration activities to the wider team and hub staff as needed. You will also collaborate closely with Hub Coordinators from other regions while sharing ideas for system and process improvements.
As part of your support role to the HSWA team, you'll create and complete HSWA inspection files and ensure quality control to maintain consistency in reports. You will also coordinate the management and monitoring of Personal Protective Equipment.
Proven experience and success in an administrative role supporting Managers and teams.Highly organised, with good time management and attention to detail.Strong customer focus with the ability to build rapport and maintain relationships with internal and external stakeholders.Sound working knowledge of MS Office products (Outlook, Word, Excel, PowerPoint) and experience using in-house systems with a high level of competency.Experience in formatting documents & templates, writing minutes & agendas, and scheduling meetings in Outlook.Experience with records and document management systems.Exposure to working with budgets & accruals and tracking monthly spend.Flexible can-do attitude with a high degree of self-motivation, initiative, and the ability to take an idea from concept to delivery.Maritime NZ recognises and respects te Tiriti o Waitangi, and we are committed to working with Maori to build strong, meaningful, and enduring relationships to achieve mutually beneficial outcomes.

Salary range: $72,540 - $96,429 depending on skills and experience + superannuation.
