Job Description General office administration – including manning office, purchasing of site requirements, arranging couriers, preparation of cyclical reports, managing site cleaning contractor, etc.
Sales Support – assist with SAP, preparation of correspondence, spreadsheets, sales proposals, and PowerPoint presentations in an accurate and professional format.
Sales Reporting – compile Sales, DIFOT, Credit, Inventory, and other reports as required by Account Managers.
Travel – coordinate booking of flights, accommodation and rental vehicles as required in accordance with company policies.
Aged Inventory – monitor, report and follow up with Account Manager's where required.
Artwork recharges – monitor, report and ensure all outsourced & local artwork is recharged where applicable.
Airfreight recharges – liaise with Purchasing and ensure airfreight is recharged where applicable.
Manual Pricing – monitor and report on all manual pricing, noting reason and profit centre (for Commercial Manager).
Rebates payable – run billing reports as required (by Commercial Manager).
Credits – raise credit requests (via Kissflow), follow up Corrective Actions and monitor to ensure timely processing, as required.
Stock sheets – assist with completion and provision to customers when account managers are on leave.
Web Leads – allocate to relevant Account Managers and record outcomes.
Purchasing – general office supplies (e.g.
Stationary, sanitation) and management of adhoc external requirements.
Invoicing – raising of Purchase Requisitions in SAP/Coupa and Goods Receipting as required.
Experience & Qualifications Proficient in Microsoft Office suite (Word, Excel, PowerPoint) – Intermediate to Advanced.
Strong written and verbal communication skills.
Strong administration / clerical background.
Able to work in a dynamic team environment.
Pleasant phone manner.
Desired Experience with SAP or similar integrated software system.
Experience with Microsoft Office 365.
