Receptionist (Administration & Office Support)Job Responsibilities: Front Desk SupervisorFront Desk Scheduling and Work Allocation• Develop and optimize work schedules for front desk staff to ensure smooth operations.• Adjust staffing arrangements flexibly based on actual needs to maintain service quality.Team Reservations Management• Handle and coordinate team bookings, ensuring accurate reservation details.• Maintain effective communication with sales, operations, and other departments to meet client requirements.Reconciliation and Chargeback Management• Conduct regular reconciliation of front desk accounts to ensure clear and accurate records.• Manage chargeback-related issues, following up and resolving them promptly.Procurement and Inventory Management• Oversee the procurement and inventory management of supplies needed for front desk operations.• Ensure timely supply delivery and cost-effective management.Front Desk Reception Duties• Guide and participate in daily front desk operations, including check-ins, check-outs, and payment processing.• Address guest inquiries and complaints to enhance customer satisfaction.Cross-Department Collaboration and Oversight• Coordinate with other departments to ensure smooth operational workflows.• Assist other department heads with urgent tasks or special projects when needed.Team Training and Performance Management• Organize regular training sessions for the front desk team to enhance professional skills and service levels.• Conduct performance evaluations, provide constructive feedback, and motivate the team.Operational Data Analysis and Optimization• Collect and analyze data related to front desk operations, proposing optimization strategies.• Prepare regular front desk operation reports to support management decisions.Other Responsibilities• Complete additional tasks assigned by upper management.• Take on necessary management responsibilities during emergencies.This position requires strong organizational and coordination skills, excellent communication abilities, and a high level of service awareness.Your application will include the following questions:• Which of the following statements best describes your right to work in New Zealand?• How many years' experience do you have as a Reception Role?• How many years' experience do you have in a training & development role?• Do you have experience in a sales role?• Do you have customer service experience?• Which of the following Microsoft Office products are you experienced with?• Do you have previous invoicing experience?
