Purpose of the position: To support the principal in the administrative running of the school and to provide a welcoming point of contact for staff, students, and family/whanau.
Key Responsibilities: Special Character Participate in the life of the school upholding the Special Character of the school in all your dealings with students, staff, and parents.
General Office Responsibilities Welcome and assist visitors.
Responsible for inward and outward mail and emails.
Answer phone and phone messages.
Complete administrative tasks from Principal.
Maintain efficient filing systems both manual and electronic.
Maintain confidential records.
Monitor electronic attendance registers.
Inform staff of any staff absences.
Book relievers for staff CRT, PD etc.
Refer new/potential parents to Principal for introduction.
Check all enrolment forms and required attachments are completed correctly.
Ensure preference cards are signed by the Parish Priest and the Principal when the new student starts school.
Check enrolment details on Hero Student Management System.
Request student files from previous school.
Ensure OLA Enrolment scheme is followed accurately.
Withdrawal Update all leaving pupils on Hero and ENROL.
Finance Maintain records of accounts.
Receipt and reconcile all payments via Xero and Hero.
Liaise with the Principal/Board regarding the state of accounts.
Liaise with our accountant regarding the school accounts.
Collect and receipt monies from classrooms for trips or required items.
Liaise with our auditor for preparation of the annual audit.
Pay accounts via Xero and school bank account ensuring that accounts are paid by the due date.
File accounts.
Annual set up of donations and payments on Hero.
Edpay Setup and maintain staff records on Edpay and Hero.
Record all relievers, hours, staff leave, and sick leave.
Ensure staffsync and Edpay are reconciled.
Review draft and final SUE with Principal.
Banking Money to be banked regularly and recorded appropriately.
Sick Bay Monitor children who attend the sick bay.
Record and advise parents of all head bumps.
Contact parents if a child is too unwell to stay at school.
Contact parents if a child has moderate to serious injury.
Inform appropriate staff.
Maintain sick bay supplies and sick bay.
Professional Development Undertake First Aid Training every 2 years.
Take part in training as required.
