Napier City Council is seeking a highly skilled Administrator to join our busy Finance Team, providing essential administrative support to the Chief Financial Officer (CFO). This role involves personal assistance to the CFO and managing contract administration to bolster our Procurement team. Additionally, you'll be expected to provide backup support for the Executive Director of Corporate Services.
As the Personal Assistant to the Chief Financial Officer, you'll need strong time management and prioritisation skills. Your responsibilities will range from managing the CFO's inbox, schedule, and events to overseeing contract and tenderadministration.
Key Responsibilities: Manage and coordinate the Chief Financial Officer's inbox, schedule, and events. Draft correspondence and responses on behalf of the CFO. Assist in meeting preparation and follow-up actions, including minute-taking and distribution. Arrange travel bookings. Ensure accuracy and currency of all contracts recorded in the register. Upload tender documents onto GETS (Government Electronic Tender Service). Support tender processes and supplier engagements. Monitor and manage the procurement mailbox. To excel in this role, candidates should possess: National Diploma Level 5 or equivalent knowledge. Experience in Personal Assistant, Legal Secretarial, Contract Administration, or Analytical roles. Proven ability in diary and meeting management. Experience in handling correspondence efficiently. Familiarity with the preparation of Council papers, including drafting agendas and minutes. This is a permanent part time opportunity, 30 hours per week across Monday to Friday.We will be interviewing applications as we receive them and may close the role when we have found the right person.
