About the opportunity | Te whiwhinga mahi

We have an exciting opportunity for a Personal Assistant to join our Edgecumbe site on an 18-month fixed term basis.

Reporting to the Site Operations Manager, you will provide professional frontline and administration services that reflect Fonterra's values to the Edgecumbe Site and Managers to meet business objectives. You will be the key member providing effective, consistent, and equitable secretarial and administrative support, organisation of events and/or meetings, project assistance and efficient day-to-day workflow.

You will be based full-time on site Monday – Friday.

You will be a proven administrator with a warm personality, natural ability to build relationships and who enjoys supporting others. In this busy and varied role, you will utilise your strong MS Office experience to provide smooth and efficient administration support. You will have great time management skills and the ability to prioritise your workflow.

With comprehensive administrative support to The Site Operations Manager and Lead Team managing schedules, organizing meetings, and handling various tasks to ensure smooth and efficient operations. The role demands excellent organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. With excellent interpersonal skills, you will build lasting relationships with internal and external stakeholders and be willing and eager to learn new skills and systems. Handling sensitive information with the utmost discretion and confidentiality. Previous SAP experience would be ideal, but not essential.

Key Responsibilities:
Outlook diary management
Facilitating and coordinating site meetings, events and functions as required
Producing accurate minutes and actions for both Management and Governance meetings
Track and ensure compliance with key dates and requirements
Manage Light vehicle fleet including yearly reviews of systems, induction, booking system and car management
Site security, issue gate cards and grant access when needed, audit site security, oversee and ensure site security measures are in place, schedule, attend and minute Site Security Meetings, assist with the Site Security actions as required
Maintain and implement the Business Continuity Plan, facilitate BCP exercises
Emergency Radios
Medical / Physio appointments
Phone lists
Engagement and communication
Improvements to systems and processes
