We are currently seeking a skilled Personal Assistant to join our team and contribute to the smooth operation of our inpatient services.As a member of the Commercial Support Services team, the Personal Assistant plays a pivotal role in providing high-level administrative support to assigned Service Managers on the Christchurch Health Campus. This support enables leaders to effectively deliver services in alignment with the organisation's commercial support strategy and operating model.Apart from the Administration and Clerical Pay Equity Claim settlement, this role has been mapped to National Band 5/Profile 5C.Key Responsibilities:Diary & Inbox Management:Manage and maintain Service Manager schedules and appointments.Triage emails and take appropriate actions.Record Keeping:Prepare agendas, record and distribute minutes of meetings.Capture and manage employee or compliance information.Maintain register and database contents.Compliance:Carry out purchasing and receipting activities using relevant software tools.Assist Service Managers with financial processes, data, and reporting requirements.Customer Service:Assist with monitoring and responding to customer queries.Minimum Requirements:Minimum 2 years' experience in a senior administration or customer support role.Minimum NCEA level 3 or equivalent.Extensive experience in scheduling and diary management.Exceptional verbal, written, and presentation skills.Experience processing and monitoring payments and financial information.Advanced computer skills and proficient knowledge of Microsoft Office Suite.Experience in developing and distributing agendas and minute taking.Desired Skills and Qualifications:Experience in the healthcare environment or New Zealand public sector.Experience of te ao Maori and tikanga.Experience working with diverse communities."Ko nga tangata, te matua mahi - Putting people at the heart of all we do"We are committed to honouring Te Tiriti o Waitangi and its principles by ensuring our partnership with Maori are at the forefront of all our conversations.
