The role:
We are seeking a highly organised and detail-oriented Operations Manager to oversee the efficient management of stock, inventory, and customer service operations. Reporting directly to the CEO, the ideal candidate will have a strong background in supply chain and inventory management, excellent communication skills, and proven management abilities. In this role, you will be responsible for all aspects of inventory management and supply chain logistics, ensuring the seamless flow of goods from suppliers to third-party warehouses.
This role requires a combination of strategic thinking and hands-on involvement in day-to-day operational tasks, ensuring everything runs smoothly and efficiently. You will be expected to plan meticulously, coordinate effectively, and build strong relationships with suppliers, freight forwarders, and internal teams to maintain optimal inventory levels and meet demand forecasts.
In addition to your day to day operational duties, you will be instrumental in developing and implementing new systems and processes that enhance efficiency and optimise our supply chain and inventory management. Strong management skills are essential, as you will oversee the Customer Service Manager and ensure that our high service standards are consistently met.
What you'll do:
Supply Chain and Inventory Management:
Oversee the entire supply chain process from stock order placement, through to delivery into third-party warehouses.
Manage inventory levels and forecasts to meet demand fluctuations and promotional activities, ensuring all warehouses hold sufficient stock in alignment with forecasted sales and promotional calendars.
Implement Inventory Management systems or similar tools to improve accuracy, visibility, and reporting.
Improve supply chain resiliency.
Develop and maintain strong supplier relationships for order placement, price negotiation, and efficient procurement of stock.
Implement and oversee inventory quality control processes and procedures.
Build strong relationships with freight forwarders, manage inbound shipments to third party warehouses, ensuring cost efficient and timely distribution from suppliers to all third-party warehouse locations.
Manage relationships with all 3PL providers to optimise inventory accuracy, efficient order packing processes, cost efficient shipping carriers, and order volume forecasts.
Ensure all 3PL providers are maintaining optimal service delivery and service level agreements are established and being met.
Implement process improvements and SOPs to optimise supply chain efficiency, identifying areas for cost savings and operational enhancements.
Demand Planning and Forecasting:
Develop and maintain accurate demand forecasts based on sales data, promotional activities, and market trends.
Ensure that all warehouses are stocked according to forecasted sales and promotional schedules to prevent stockouts or excess inventory.
Regularly review and adjust forecasts to reflect changes in market conditions and business needs.
Optimise demand planning software and leverage tools to improve inventory forecasting and management.
Team Management:
Manage the performance of the Customer Service Manager, providing guidance and support to ensure effective management of the customer service team.
Ensure the Customer Service Manager aligns with operational goals and customer service standards.
Handle escalations from the Customer Service Manager.
System Management and Process Optimisation:
Take ownership of demand planning / forecasting systems and purchasing platforms, ensuring accurate data management, and reporting.
Conduct comprehensive process mapping of all end-to-end operational tasks and create implement SOPs to streamline operations, ensuring consistency and adherence to best practices.
Monitor inventory and supply chain performance metrics and make data-driven decisions to optimise processes, identifying opportunities for cost savings, automation, and workflow enhancements.
Develop and implement systems and processes to enhance operational efficiency.
Financial Management:
Collaborate with the finance team to execute processes to accurately track and report on COGS and inventory values.
Review and manage supplier and freight forwarder invoices to ensure accuracy before processing by the finance team.
Support CEO:
Support the CEO in operational and business initiatives as required.
What you'll need:
Bachelor's degree in business, supply chain management, or related field.
4+ years of experience in operations management, preferably in e-commerce or retail, with a focus on inventory management and supply chain optimisation.
Strong understanding of inventory management principles and practices, including demand forecasting, procurement, and warehouse operations.
Highly organised with a strong attention to detail, ensuring accuracy and quality in all operational aspects.
Strength in building, improving, and leveraging systems and end-to-end processes
Strong analytical and modelling skills (Excel), including the ability to interpret data and develop actionable insights.
Excellent communication, negotiation, and leadership skills, with the ability to effectively collaborate with cross-functional teams and external stakeholders.
Strong problem-solving abilities, and capable of managing multiple priorities in a fast-paced environment.
