Ember Technology provides IT networking, software, data and AI/automation services to 300 SME and enterprise clients. We're 13 years old and have a strong focus on the community and environment, including being certified by Toitu as net carbon zero.Position: Office Team LeaderWe're looking for an Office Team Leader to lead the support/administration function in our busy team. You'll enjoy a varied and fast-paced environment, working closely with other managers and team members, and continuously improving our processes.You will report to the Managing Director and this role is approximately 20-30 hours per week with total days/hours worked being negotiable. You can work from home occasionally if necessary but the job is in the office with the team.Key Responsibilities:Manage the monthly financials including invoicing, accounts payable, debt collection, and checks that hardware and software purchases are invoiced to clients.Coordinate our HR and Health & Safety processes including recruitment advertising, screening calls, interviews, candidate communication, storage of personnel files, and overseeing the onboarding, induction and offboarding process, payroll.Maintain HR documentation such as the employee handbook, health and safety policy, risk register and committee meetings, and coordinate staff meetings, the social committee, and events.Work with the team to provide fantastic client experience, receive and distribute incoming Infrastructure work, complete the Infrastructure quality control process in conjunction with the Technical Manager, update our client management system and pricing as required, send newsletters to all clients, assist the onboarding and offboarding processes for clients, and manage the stock process.Oversee the annual Carbonzero certification process and environmental initiatives for the company. Help to continuously improve company policies, procedures & documentation.Perform general administrative duties, projects, and other tasks as required.Qualifications:Character: You will be warm & friendly and have a "can do" attitude and willingness to help. You'll enjoy variety, take initiative when something needs doing, be organised, efficient, dependable, have attention to detail and have the ability to pick up things easily.Technical: You'll have previous experience with accounts, HR, leadership, and admin. You will have good computer skills and be good with numbers. You'll be fanatical about ensuring clients receive world class service, which will mean you'll be a solid communicator who can develop strong relationships.
