Office Manager

Key Responsibilities:

Undertake all general administration and operational tasks of the office.
Maintain office services by organizing office operations and procedures.
Responsible for all the operations and routine tasks that need to be done from the office.
Allocate work to the staff and manage workflow.
Manage and allocate tasks and resources for the staff.
Maintain office efficiency by planning and implementing office systems, equipment, and procurement.
Design and implement office policies by establishing standards and procedures.
Plan and review work to ensure goals of the business are met.
Plan and set priorities for services provided by the office.
Ensure staff have the equipment and tools required to perform their duties.
Arrange all necessary items for the smooth running of work.
Ensure all items are fully stocked.
Complete operational requirements by scheduling and assigning employees, following up on work results.
Responsible for prompt and efficient maintenance of company assets.
Manage company documents on the computer.
Ensure office resources are used effectively and efficiently.
Manage general accounts of the office as per requirements.
Maintain all documentation at the office.
File and maintain necessary records in the office.
Deal with and rectify customer complaints.
Facilitate resolution of problems with clients and issues.
Have a driver's license and be willing to travel as per office requirements.
Arrange recruitment and training when required.
Provide mentoring and ongoing coaching for staff.
Develop and maintain staff rosters, arrange relieving staff, and keep weekly hours of staff under control.
Answer queries from staff related to work, payroll, and resolve any arising problems.
Ensure staff compliance with relevant codes of conduct, industry regulations, and legislation, including Health and Safety requirements.
Possess exceptional planning skills to organize work and achieve company goals.
Perform other work as directed by the Director.



Position Details:

Location: Palmerston North
Hours: Full-time, Permanent Position
Hours per week: 30
Hourly pay rate: $30 per hour



Qualifications:

Diploma or higher level qualification in business or management is essential.
Work experience in the commercial cleaning sector in any position for at least 6 months or more.
Broad understanding of the commercial cleaning sector is an advantage.
Committed to providing exceptional customer service across all channels – written, phone, and face-to-face.
Ability to communicate clearly and concisely, varying communication style depending on the audience.
Willingness to assist and support others as required and collaborate with team members.
Ability to accomplish objectives effectively within the given timeframe and carry out administrative duties efficiently.
