**Job Description:**
As the Office Manager at AES, you will play a crucial role in overseeing day-to-day office operations and ensuring a productive working environment. We are looking for a driven and hardworking individual who is not only detail-oriented but also possesses the creativity to enhance our office workflows. This is a part-time position requiring 3+ years of experience in office management or administrative roles.
**Key Responsibilities:**
1. **Office Administration:**
- Oversee daily office operations, ensuring the office runs smoothly and efficiently.
- Manage office supplies, including ordering, stocking, and inventory control.
- Develop and implement office policies and procedures to improve operational efficiency.
- Act as the point of contact for all office-related inquiries and coordinate with vendors and service providers.
2. **Financial Management:**
- Assist with budgeting processes including tracking expenses and managing office financial records.
- Process invoices and ensure timely payments are made.
- Maintain accurate financial documentation and report on office expenditures.
3. **Human Resources Support:**
- Assist with onboarding and training of new employees.
- Maintain employee records and ensure compliance with HR policies and regulations.
- Help coordinate employee wellness and benefits programs, including paid sick leave and disability insurance.
4. **Event Coordination:**
- Plan and organize company events and team-building activities to promote workplace culture.
- Coordinate logistics for meetings, including scheduling, room preparation, and catering.
5. **Record Keeping and Documentation:**
- Maintain filing systems, both digital and physical, ensuring all documents are organized and easily accessible.
- Prepare and maintain office reports, memos, and communications as necessary.
6. **Team Support and Collaboration:**
- Empower employees by fostering an environment that encourages ownership and impactful decision-making.
- Work closely with leadership to identify areas for improvement and implement creative solutions.
- Engage with team members to understand their needs and support their roles effectively.
**Requirements:**
- **Education:** Bachelor's degree in Business Administration, Management, or a related field is preferred.
- **Experience:** Minimum of 3 years of experience as an office manager or in a similar administrative role.
- **Skills:**
- Strong decision-making skills with the ability to think critically and creatively.
- Proficient in office software (e.g., MS Office Suite, Google Workspace) and office hardware.
- Excellent organizational and time-management skills.
- Strong interpersonal skills with the ability to communicate effectively at all levels.
