Office Management (Administration & Office Support)

About the role You will support the CEO and key business stakeholders in achieving profitable company growth through timely management, administration, and support service activities across the business. Your infectious and engaging style will help you build positive relationships with netQ customers, stakeholders, vendors, and distributors to support timely invoicing and payment of netQ contracted services. In a nutshell, you will be our go-to person and the heartbeat of the Team.
Key Responsibilities Manage and maintain Xero
Monthly timesheets, TIL, leave, and expense claims are actioned by month-end
Payroll, PAYE and GST are completed on time
Credit card transactions and receipts are tracked
Managing Bank accounts
Cash flow management
Monthly financial Board reporting
Accounts Payable & Receivable Monthly invoicing processes for services is coordinated and managed at month-end
Contact point for all billing queries
Rebate management and follow up
Overdue accounts receivable is tracked and managed
General Office Management Tasks Managing office conditions, security and resolving property-related queries or issues with the building manager
Managing office cleaning services
Business communication and reminders to staff
Ensuring office supplies are available (tea, coffee, sanitary services, stationery, apparel)
Travel booking and administration
The key contact point for staff needs and requirements
Other activities as identified by the Leadership team from time to time
Coordinating office/social/team functions/awards and events including catering
External event management and coordination, including venue hire and catering of events
Coordination of marketing activities to support Sales growth

Proven office management and accounts experience
Proficiency with accounting software packages, ideally Xero
Office365 experience – Outlook, Word, PowerPoint and Excel
Highly organized; great attention to detail
Proven relationship building and customer service skills, excellent communicator
Hands-on; a team player with a "can-do" attitude
