The Progressive Jewish Congregation of Auckland is seeking an Office Coordinator.About the OrganisationWorking for a not-for-profit organisation, this community is diverse, inclusive, egalitarian, and welcoming. With 200 members of all ages, they hail from across the globe. They are led by a committed Board of Management and have a few part-time employees, alongside dedicated volunteers. Regular events and activities take place in their cosy space in central Auckland.The RoleReporting to the President of the Board of Management, you will be responsible for:Meeting regularly with each employee to set goals and objectives, and review activities.Liaising with the President of the Board of Management and Committee Chairs to ensure all work aligns with priorities, mission, and vision.Managing staff contracts, records of hours worked, and holiday shut-down.Acting as the first point of contact with the community, students, and representatives of outside organisations.Answering telephone calls when in the office, regularly checking phone messages, and returning calls or forwarding to the appropriate person, following up as needed.Checking office email regularly and returning emails or forwarding to the appropriate person, following up as needed.Satisfying random requests for information or assistance from members.Managing maintenance and security of the building; maintaining regular onsite office hours so that tradespeople and cleaners can be let in and out as needed.Ensuring bills are paid on time (water, electricity, internet, etc.).Ordering and purchasing items for the office.Reviewing office processes and procedures, and making recommendations to the Board and/or Executive.About YouComputer skills, specifically, expertise with Microsoft Word and Excel, Google Drive and Gmail, Zoom and Doodle, Xero; willing to learn Infoodle, their new membership management system.Attention to detail and accurate note-taking.Good time management skills and ability to meet deadlines.Takes initiative and responsibility for own work.Able to spend the majority of hours worked onsite.Your application will include the following questions:Do you have experience using Xero?Do you have experience in administration?
