About You We are seeking a Medical Records Clerk to join our team in the Medical Records Department.
This position plays a vital role in managing medical documentation and ensuring efficient communication between patients, families, police, case managers, and internal departments.
Key Responsibilities Patient and External Communication:Liaise with patients, families, police, and case managers in person or by phone to explain processes and connect them with the appropriate departments.Address inquiries from other departments to resolve issues.Medical Records Management:Copy and prepare medical records for outside agencies, patients, and families, following correct procedures under the Official Information Act.Redact sensitive or third-party information and ensure records are sent to the correct address/email promptly.Respond to Child Protection and police inquiries within specified timeframes.Information Sharing:Send information to other hospitals, including clinic letters, diagnostic reports, and discharge summaries.Process ACC requests, documenting information sent and ensuring agencies are charged appropriately.Clinic and Admissions Preparation:Assemble and manage patient files for outpatient clinics and surgical admissions.Print labels, ensure correct paperwork, and track patient notes.Update surgical and clinic lists daily.Data Entry and System Updates:Register patients, scan documents into the Health Care System (HCS), and ensure accurate record-keeping.Deactivate records for deceased patients and manage notes per guidelines.Skills and Experience Required Strong keyboard and computer skills.Team player with excellent communication and interpersonal skills.Understanding of the Privacy Act and commitment to confidentiality.Strong organizational abilities and attention to detail.Ability to work independently, prioritize tasks, and meet deadlines.Cultural sensitivity and an understanding of the principles of the Treaty of Waitangi.How to Apply To view the position description and/or apply for the role please click "apply now."
